Duty Timmings : 9:30 am to 6:00 pm (6 days working )
Role Overview We are looking for a highly organized, proactive, and discreet Executive Assistant to support the Directors in managing daily operations, strategic priorities, and administrative responsibilities. The ideal candidate will act as a trusted partner, ensuring smooth coordination, effective time management, and seamless communication across the organization.
Key Responsibilities
1. Calendar & Schedule Management ● Manage and prioritize Director’s calendar, meetings, and appointments ● Coordinate internal and external meetings, including logistics and follow-ups ● Ensure optimal time utilization and schedule alignment with priorities
2. Communication Management ● Handle emails, calls, and correspondence on behalf of Director ● Draft, review, and send professional communications ● Act as a liaison between Director and internal/external stakeholders
3. Meeting Coordination & Documentation ● Prepare agendas, presentations, and briefing materials ● Take meeting notes (MoMs) and track action items ● Follow up to ensure timely completion of tasks
4. Travel & Event Planning ● Arrange travel, accommodation, and itineraries ● Plan business events, meetings, and conferences ● Manage last-minute changes efficiently
5. Confidential & Strategic Support ● Handle sensitive and confidential information with discretion ● Assist in research, data analysis, and report preparation ● Support strategic initiatives and special projects
6. Office & Administrative Support ● Coordinate with different departments for smooth workflow ● Maintain records, documents, and filing systems ● Track key tasks and deadlines for the Director
Key Skills & Qualifications
● Bachelor’s degree in Business Administration or Secretarial. ● 3–7 years of experience as an Executive Assistant or Secretary to MD ● Excellent Follow up and communication skills (written & verbal) ● Strong organizational and multitasking abilities ● Shorthand ● High level of discretion and professionalism ● Proficiency in MS Office / Google Workspace ● Ability to work in a fast-paced, dynamic environment Preferred Qualities ● Should be Married ● Problem-solving mindset and proactive approach ● Strong interpersonal and coordination skills ● Ability to anticipate needs and act independently ● Experience supporting senior leadership
