The Crewing Officer is responsible for managing the end-to-end crewing operations for assigned vessels, ensuring timely deployment of qualified seafarers in compliance with international maritime regulations and company standards. The role requires strong coordination, documentation accuracy, and effective communication with seafarers, clients, and internal departments.
Key Responsibilities:1. Crew Planning & Deployment
- Plan and execute crew changes as per vessel schedules and client requirements
- Ensure timely mobilization and demobilization of seafarers
- Maintain crew matrix compliance as per vessel and flag state requirements
2. Recruitment & Selection
- Source, screen, and select qualified seafarers as per company and client standards
- Conduct interviews and coordinate approval processes with principals/clients
- Maintain an updated database of available and onboard crew
3. Documentation & Compliance
- Verify all crew documents (CDC, CoC, STCW certificates, medicals, visas, passports)
- Ensure compliance with MLC 2006, STCW, and flag state regulations
- Maintain accurate crew records in crewing software/systems
4. Coordination & Communication
- Liaise with vessels, agents, travel coordinators, and clients for smooth crew operations
- Provide joining instructions and briefing to seafarers before deployment
- Address crew queries, grievances, and welfare concerns
5. Travel & Logistics
- Arrange flights, visas, hotel bookings, and local transport for crew changes
- Coordinate with travel agents and port agents for seamless transitions
6. Payroll & Contracts
- Prepare employment contracts and ensure proper sign-on/sign-off documentation
- Coordinate with accounts for crew wages, allotments, and reimbursements
7. Performance & Retention
- Monitor crew performance and feedback from vessels
- Maintain strong relationships with seafarers to ensure retention and availability
Qualifications & Requirements:
- Bachelor’s degree in Maritime Studies, Shipping, HR, or related field
- Minimum 2–5 years experience in crewing operations (shipping industry preferred)
- Knowledge of maritime regulations (MLC, STCW, ISM, flag state requirements)
- Strong communication and interpersonal skills
- Proficiency in MS Office and crewing management software
- Ability to work under pressure and manage multiple vessels simultaneously
