Job Description
We are looking for an experienced and highly organized HR & Admin Manager to oversee and manage the company's human resources and administrative operations.
The ideal candidate will be responsible for managing recruitment, employee attendance, payroll coordination, HR documentation, employee relations, and overall office administration. The HR & Admin Manager will work closely with management and employees to ensure smooth day-to-day operations and effective implementation of HR policies and procedures.
Key ResponsibilitiesRecruitment & Talent Acquisition
- Manage the end-to-end recruitment process for various positions.
- Prepare and post job advertisements on relevant recruitment platforms.
- Screen applications and shortlist suitable candidates.
- Conduct initial HR interviews and coordinate further interviews with department managers.
- Maintain recruitment trackers and candidate databases.
- Manage offer letters, appointment letters, and joining formalities.
- Ensure timely closure of open positions.
Attendance & Payroll Management
- Monitor and maintain employee attendance records.
- Manage leave, permissions, absenteeism, and attendance discrepancies.
- Prepare and verify monthly attendance data for payroll processing.
- Coordinate with the Accounts/Payroll team for timely salary processing.
- Review payroll inputs, deductions, incentives, and other relevant information.
- Address employee queries related to attendance and payroll.
HR Operations & Employee Management
- Maintain accurate and confidential employee records and documentation.
- Manage employee onboarding, induction, confirmation, and exit processes.
- Prepare and maintain HR policies, procedures, and employee guidelines.
- Support performance management and employee appraisal processes.
- Handle employee grievances and workplace concerns professionally.
- Promote positive employee relations and a healthy work environment.
- Ensure HR processes are implemented consistently across the organization.
Administration & Office Management
- Oversee day-to-day administrative operations of the office.
- Manage office documentation, records, and filing systems.
- Coordinate with vendors, service providers, and external agencies.
- Monitor office supplies, assets, and administrative requirements.
- Ensure smooth coordination between different departments.
- Support management with reports, documentation, and administrative requirements.
- Identify opportunities to improve administrative processes and efficiency.
Management Reporting & Compliance
- Prepare regular HR and administrative reports for management.
- Maintain recruitment, attendance, payroll, and employee data trackers.
- Ensure compliance with company policies and applicable employment requirements.
- Maintain confidentiality of employee and company information.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, Commerce, or a related field.
- MBA/PGDM in Human Resources or a relevant specialization is preferred.
Experience
- Minimum 3–5 years of experience in HR and Administration.
- Previous experience in managing recruitment, attendance, payroll coordination, and office administration is preferred.
- Experience in a managerial or supervisory HR role will be an advantage.
Required Skills
- Strong knowledge of recruitment and talent acquisition.
- Experience in attendance and leave management.
- Knowledge of payroll processes and payroll coordination.
- Strong understanding of HR operations and employee lifecycle management.
- Good knowledge of MS Excel, Microsoft Office, and Google Sheets.
- Excellent communication and interpersonal skills.
- Strong leadership, organizational, and problem-solving skills.
- Ability to manage multiple tasks and priorities.
- High level of integrity and confidentiality.
Preferred Skills
- Experience with HRMS or payroll software.
- Knowledge of labour laws and HR compliance.
