Property Profile: Large-Scale Gated Community (650+ Residential Flats + Integrated Clubhouse & Amenities Complex)
Key Responsibilities: Operations & Facility Management
- Oversee preventive and corrective maintenance across all common areas, high-rise infrastructure, elevators, MEP (Mechanical, Electrical, Plumbing) systems, DG sets, STPs, WTPs, and fire safety systems.
- Direct daily housekeeping, waste management, security, landscaping, and pest control operations.
- Manage the full lifecycle of a large-scale clubhouse: gymnasium, swimming pool, banquet halls, sports courts, and recreation rooms. Ensure health, safety, hygiene, and booking systems run smoothly.
- Conduct regular site inspections to ensure high standards of cleanlines, safety, and operational efficiency.
2. Team & Vendor Management
- Supervise and evaluate third-party agencies (Security, Housekeeping, Facility Management, Technical Maintenance, Clubhouse staff).
- Define SLAs, KPIs, and scope of work for all contractors; review performance quarterly and manage SLA penalty/reward mechanisms.
- Lead and mentor on-site administrative and technical staff, ensuring proper shifts and task allocation.
3. Financial Administration & Budgeting
- Prepare the annual operating and capital expenditure budgets (OPEX/CAPEX) alongside the Treasurer/Managing Committee.
- Monitor collection of monthly maintenance dues, manage follow-ups for outstanding accounts, and issue late-payment notifications.
- Oversee vendor invoicing, petty cash disbursements, and verify bills prior to committee approval.
- Coordinate with the internal auditor and chartered accountant for annual audits and tax compliance.
4. Governance, Compliance & Statutory Norms
- Ensure full compliance with Cooperative Housing Society (CHS) / Resident Welfare Association (RWA) bylaws and state regulations.
- Organize and record records for Managing Committee Meetings (MCM), Annual General Meetings (AGM), and Special General Meetings (SGM).
- Maintain statutory registers, share certificates, occupancy certificates, structural audit reports, NOCs (Fire Safety, Lifts, Environment, STP/WTP), and insurance policies.
5. Resident Relations & Community Management
- Act as the primary point of contact for resident queries, grievances, and dispute resolution.
- Manage society management software/apps (e.g., MyGate, NoBrokerHood, ADDA) for visitor management, ticketing, notices, and billing.
- Enforce society rules, amenity usage guidelines, parking rules, and noise/renovation policies strictly and diplomatically.
- Coordinate community events, festival celebrations, and club activities with resident event committees.
6. Emergency & Risk Management
- Develop and execute emergency response protocols for fire outbreaks, power failures, structural incidents, and medical emergencies.
- Conduct periodic safety drills (fire drills, evacuation procedures) for residents and staff.
- Ensure 24/7 security perimeter controls, CCTV monitoring, and access control systems are operating without gaps.
Required Qualifications & Experience
- Educational Background: Bachelor's degree in Facility Management, Business Administration, Hotel Management, Civil Engineering, or a related field.
- Experience: Minimum 12+++ years in estate/facility management, with at least 10 +++ years managing large-scale residential complexes (600+ units)
- Technical Skills: Strong understanding of building systems (STP, WTP, Transformers, DG Sets, Lifts, Fire Suppression Systems).
- Software Knowledge: Hands-on experience with society management platforms (ADDA, MyGate, NoBrokerHood, etc.) and MS Office Suite.
- Legal Knowledge: Thorough understanding of local Housing Society Acts, Bye-Laws, and municipal regulations.
