Position Title: Personal Assistant
Job Role : Personal Assistant
Job Location : Bengaluru Rural (Hoskote)
Office Timings : Monday to Saturday between 8:30 AM (IST) to 4:30 PM (IST)
Compensation : Commensurate with qualification and experience.
Educational Qualification
- Bachelor’s Degree in Any Discipline (Arts / Science / Commerce / Management)
- Preferred: MBA / PG Diploma in Management / Secretarial Practice
- Certification in Office Management / Executive Assistance is an added advantage
Experience
- 5–10 years of experience as a PA / Executive Assistant to senior management (CEO / MD / Chairman)
- Prior experience in healthcare / hospital / large corporate organizations preferred
Key Skills & Competencies
- Excellent written and verbal communication skills
- Strong drafting skills (emails, letters, MOMs, presentations)
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Strong calendar management, travel coordination, and meeting management
- Ability to handle confidential and sensitive information
- Good coordination and follow-up skills with internal and external stakeholders
Roles & Responsibilities:
- Act as a point of contact among executives, employees, clients and other external partners.
- Manage information flow in a timely and accurate manner.
- Proactively and strategically manage heavy and complex calendars of the executive based on a thorough understanding of business priorities and set up meetings.
- Collect and prepare information and background materials for use in discussion/meetings.
- Make travel and accommodation arrangements
- Rack daily expenses and prepare weekly, monthly or quarterly reports.
- Take minutes during meetings - Attend select internal meetings to capture and distribute notes, key takeaways, action items and expected deliverables.
- Oversee the performance of other clerical staff.
- Act as an office manager by keeping up with office supply inventory.
- Format information for internal and external communication - memos, emails, presentations, reports.
- Track, follow-up and provide reminders on deadlines and manage up-&-downstream to ensure deadlines and deliverables are met.
- Screen and direct phone calls and distribute correspondence.
- Organize and maintain the office filing system.
- Assist with ad-hoc requirements and tasks to manage and collaborate on work with priorities across teams & functions.
