1. Calendar & Schedule Management
- Prioritizing Meetings: Managing dynamic Outlook or Google calendars, troubleshooting scheduling conflicts, and prioritizing urgent meeting requests.
- Meeting Prep: Gathering necessary documents, preparing agendas, and ensuring the Director is briefed and ready for all engagements.
2. Communication & Liaison
- Screening Communications: Answering or screening phone calls, emails, and correspondence, and redirecting inquiries to the appropriate team members.
- Acting as a Gatekeeper: Serving as the primary point of contact between the Director, internal staff, clients, and external partners.
- Drafting Documents: Composing and editing professional emails, letters, and internal memos on the Director's behalf.
3. Reporting & Meeting Administration
- Taking Minutes: Attending critical or board meetings to take notes, draft Minutes of Meeting (MOM), and track action items to ensure completion.
- Preparing Materials: Designing and formatting reports, briefing papers, and PowerPoint presentations for management reviews.
4. Travel & Expense Management
- Booking Travel: Organizing complex domestic and international travel itineraries, including flights, hotel bookings, and transportation.
- Expense Tracking: Monitoring corporate expenditures, processing travel claims, and submitting expense reports.
5. Project & Operational Coordination
- Task Tracking: Following up on pending tasks across different departments and providing the Director with regular project status updates.
- Special Projects: Assisting with ad-hoc projects, researching data, and compiling information as assigned.
Pay: ₹15,000.00 - ₹18,000.00 per month
