Key Duties of a Bus Transport In-Charge
Bus Operations
Plan and manage daily bus routes, timings, and schedules.
Ensure buses operate according to the approved timetable.
Coordinate additional buses or trips when required.
Monitor delays, breakdowns, and route deviations.
Driver & Attendant Management
Allocate drivers and bus attendants to routes.
Monitor attendance, punctuality, discipline, and performance.
Ensure drivers possess valid licenses and required documents.
Conduct regular briefings on safety and operational procedures.
Safety & Compliance
Ensure buses are maintained in safe operating condition.
Check compliance with applicable transport/RTO requirements.
Ensure availability of first-aid kits, fire extinguishers, emergency contacts, and other safety equipment.
Handle transportation emergencies and accidents promptly.
Vehicle Maintenance
Coordinate preventive and periodic servicing of buses.
Maintain records of servicing, repairs, insurance, permits, fitness certificates, and pollution certificates.
Report major vehicle issues and coordinate with workshops/vendors.
Ensure buses are clean and presentable.
Route & Passenger Management
Monitor passenger/student/employee boarding and drop-off.
Address complaints related to routes, timings, drivers, or bus services.
Review routes periodically for safety, efficiency, and traffic conditions.
Maintain proper passenger/route lists where required.
Documentation & Records
Maintain daily bus movement/log sheets.
Maintain driver and attendant records.
Track fuel consumption and mileage.
Maintain accident, breakdown, maintenance, and complaint records.
Prepare transport-related reports for management.
Fuel Management
Monitor fuel requirements and consumption.
Check fuel bills and usage records.
Identify unusual fuel consumption or wastage.
Vendor/Contractor Coordination
Coordinate with transport contractors, vehicle suppliers, workshops, and fuel stations.
Verify service quality and contractual compliance.
Escalate recurring service or vehicle issues to management.
Emergency Management
Take immediate action in case of accidents, breakdowns, medical emergencies, or other incidents.
Arrange replacement vehicles when necessary.
Inform management and relevant stakeholders promptly.
Maintain proper incident reports.
Cost Control
Monitor transport expenses, fuel costs, repair costs, and contractor payments.
Identify opportunities to reduce unnecessary transportation costs without compromising safety or service quality.
