Job Summary
We are looking for a highly organized, proactive, and professional Executive Assistant (EA) to provide comprehensive administrative and operational support to senior management. The ideal candidate should have excellent communication skills, strong coordination abilities, good attention to detail, and the ability to manage multiple priorities with confidentiality and professionalism.
Key Responsibilities
- Manage and maintain the executive’s daily calendar, appointments, and meetings.
- Schedule and coordinate internal and external meetings.
- Handle emails, calls, correspondence, and day-to-day communication on behalf of management.
- Prepare meeting agendas, presentations, reports, and other documents as required.
- Maintain and organize confidential records, files, and important documents.
- Coordinate with internal departments, clients, consultants, vendors, and other stakeholders.
- Follow up on pending tasks and ensure timely completion of assigned action items.
- Prepare meeting minutes and track important decisions and follow-ups.
- Assist management in travel planning, hotel bookings, meetings, and itineraries.
- Handle confidential and sensitive information with complete discretion.
- Coordinate appointments and business commitments efficiently.
- Prepare MIS reports, spreadsheets, and presentations when required.
- Assist in organizing company events, meetings, and business activities.
- Monitor important deadlines and provide timely reminders to management.
- Perform other administrative and coordination tasks assigned by senior management.
Required Skills & Qualifications
- Bachelor’s degree in Business Administration, Management, Commerce, or a related field.
- Minimum 3 years of experience as an Executive Assistant, Personal Assistant, Management Assistant, or similar role.
- Excellent verbal and written communication skills in English.
- Strong proficiency in MS Office – Word, Excel, PowerPoint, and Outlook.
- Excellent calendar, scheduling, and organizational skills.
- Strong follow-up and coordination abilities.
- Professional appearance, attitude, and interpersonal skills.
- High level of confidentiality and discretion.
- Strong attention to detail and time-management skills.
