Job Title: Soft Services Facility Executive
Department: Facilities Management
Reports To: Facility Manager
Job Summary: The Soft Services Executive is responsible for overseeing and coordinating the delivery of soft services within a facility or property. This role ensures the smooth operation of non-technical facility services, focusing on maintaining a clean, safe, and comfortable environment for occupants and visitors. The position requires strong organizational skills, attention to detail, and the ability to manage multiple service providers and stakeholders.
Key Responsibilities:
Oversee and coordinate soft services including cleaning, waste management, landscaping, pest control, and security
Develop and implement operational procedures and service level agreements for soft services
Manage and monitor the performance of service providers and contractors
Conduct regular inspections to ensure quality standards are met and maintained
Respond to and resolve customer queries, complaints, and service requests in a timely manner
Prepare and manage budgets for soft services operations
Ensure compliance with health and safety regulations, environmental standards, and company policies
Coordinate with other departments to align soft services with overall facility management goals
Implement and maintain quality control systems and performance metrics
Identify areas for improvement and implement cost-effective solutions
Manage inventory of cleaning supplies and equipment
Participate in the selection and onboarding of new service providers and contractors
Provide training and guidance to soft services staff and contractors as needed
Prepare regular reports on soft services performance and budget for management
Qualifications:
Bachelor's degree in Facilities Management, Business Administration, or related field
4-6 years of experience in facilities management or soft services coordination
Strong knowledge of soft services operations and best practices
Excellent organizational and time management skills
Strong communication and interpersonal skills
Proficiency in Microsoft Office Suite and facilities management software
Ability to read and interpret building plans and technical documents
Experience in budget management and cost control
Preferred Qualifications:
Professional certification in Facilities Management (e.g., IFMA, BIFM)
Knowledge of sustainability practices in facilities management
Experience with computerized maintenance management systems (CMMS)
Familiarity with relevant ISO standards (e.g., ISO 41001 for Facility Management)
