About the Role:
We are looking for a proactive and energetic Admin Executive – Field Operations to support our administrative and operational activities across various project locations. This role requires extensive field travel to coordinate with vendors, government offices, project sites, and internal teams while ensuring smooth day-to-day administrative operations.
The ideal candidate should be organized, responsible, and comfortable working both in the field and from the office.
Key Responsibilities:
- Handle day-to-day administrative activities across project locations.
- Visit project sites, vendors, government offices, banks, and service providers as required.
- Coordinate office maintenance, repairs, housekeeping, and facility management.
- Manage procurement of office supplies, stationery, and other administrative requirements.
- Coordinate with vendors for quotations, purchase orders, deliveries, and payments.
- Maintain records of assets, inventory, and administrative documents.
- Support event logistics, meetings, training programs, and workshops.
- Assist in travel, accommodation, and transportation arrangements for employees and guests.
- Ensure timely submission of bills, invoices, and administrative reports.
- Perform any other administrative responsibilities assigned by the reporting manager.
Eligibility:
- Graduate in any discipline.
- 1–3 years of experience in Administration, Facility Management, or Operations.
- Experience in NGOs, educational institutions, or social sector organizations will be an added advantage.
- Freshers with relevant internship or field coordination experience may also apply.
Required Skills:
- Strong coordination and communication skills.
- Good knowledge of MS Office (Excel, Word, Outlook).
- Ability to manage multiple tasks and meet deadlines.
- Vendor management and negotiation skills.
- Willingness to travel extensively within the assigned region.
- Problem-solving attitude and ability to work independently.
Field Requirement:
- 80% Field Work and 20% Office-based responsibilities.
- Must own a two-wheeler (bike/scooter) with a valid driving licence.
- Comfortable travelling regularly across Pune and nearby project locations.
