About the Role
Bharatiya Jain Sanghatana (BJS) is looking for a Front Desk & Program Coordinator to manage the reception area and provide day-to-day coordination support to the Program team.
The ideal candidate should be well-presented, confident, organized and excellent at communication, with the ability to manage front-desk responsibilities while supporting program activities, documentation, meetings and events.
Key ResponsibilitiesFront Desk & Reception
- Manage the BJS reception area and act as the first point of contact for visitors, guests, partners and vendors.
- Welcome and assist visitors in a professional and courteous manner.
- Handle incoming calls, emails, courier and general correspondence.
- Maintain visitor, courier and reception records.
- Coordinate appointments and meetings for internal and external stakeholders.
- Guide visitors and calls to the appropriate department/person.
- Ensure the reception area is maintained in a professional and organized manner.
Program Coordination Support
- Provide administrative and coordination support to the Program team.
- Coordinate meetings, workshops, training programs and events.
- Assist with venue, meeting room, material and logistical arrangements.
- Maintain program trackers, databases, records and documentation.
- Coordinate with internal teams and stakeholders for timely follow-ups.
- Support preparation of reports, MIS, presentations and other program documentation.
- Assist with participant communication, scheduling and coordination.
- Support data entry and other administrative activities related to ongoing programs.
- Follow up with relevant team members on assigned tasks and timelines.
Candidate Profile
- Graduate in any discipline.
- 1–3 years of experience in front office, reception, administration, coordination, hospitality, education, NGO or similar roles.
- Excellent verbal and written communication skills.
- Good command of English, Hindi and preferably Marathi.
- Good working knowledge of MS Office, Excel, Word and email communication.
- Strong interpersonal and coordination skills.
- Presentable, courteous and professional personality.
- Ability to multitask and manage multiple priorities.
- Strong follow-up and documentation skills.
- Comfortable interacting with senior management, visitors and external stakeholders.
- Proactive attitude with a willingness to support both administrative and program-related activities.
What We Are Looking For
We are looking for someone who can manage the reception independently while actively supporting the Program team during non-peak front-desk hours.
