Job Summary
We are looking for a proactive and organized Admin Executive to support daily operations, coordinate with site teams and contractors, and ensure smooth communication and workflow management. The ideal candidate should have strong follow-up skills, basic billing knowledge, and the ability to manage multiple tasks efficiently.
Key Responsibilities
1. Billing & Documentation
- Maintain and update billing records regularly
- Coordinate with accounts for invoice submissions and payment follow-ups
- Track contractor payments and billing status
2. Labour & Contractor Coordination
- Monitor labour contractor status and availability
- Check contractor labour requirements for ongoing and upcoming sites
- Assist in labour allocation as per site requirements
- Follow up on pending contractor work
3. Site Coordination
- Coordinate with site supervisors and site teams
- Line up and schedule site work as per project timelines
- Track daily work progress and report updates
- Provide emergency response support when urgent site issues arise
4. Communication & Reporting
- Respond promptly in official WhatsApp groups
- Ensure proper communication between office and site teams
- Update work progress regularly in the Karyah App
- Maintain daily follow-up on ongoing tasks and pending activities
5. Operational Support
- Monitor work status and ensure tasks are completed on time
- Maintain records of site updates and labour deployment
- Support project managers in daily operational activities
Required Skills
- Strong communication and coordination skills
- Good follow-up and multitasking ability
- Basic knowledge of billing and documentation
- Familiarity with WhatsApp group coordination and mobile app updates
- Ability to handle emergency situations calmly
- Organized and detail-oriented
Preferred Qualifications
- Bachelor’s degree or relevant experience in administration
- Basic knowledge of MS Office/Google Sheets
- Freshers are welcome
