Core Responsibilities
1. Delivery Route Planning & Optimization
- Route Mapping: Design cost-effective dispatch schedules using geographic routing software or manual mapping based on pin codes across Indian states and zones.
- Vehicle Utilization: Allocate appropriate vehicle types (e.g., Tata Ace for last-mile, 20ft/32ft containers for line-haul) based on cargo volume and weight capacity.
- Driver Coordination: Brief drivers on optimized routes, toll-free alternatives, and specific traffic restrictions (e.g., "no-entry" timing windows in metro cities like Mumbai, Delhi, or Bengaluru).
2. Delivery TAT (Turnaround Time) Management
- SLA Compliance: Monitor and enforce strict Service Level Agreements (SLAs) for both inbound unloading and outbound loading.
- Real-time Tracking: Track vehicles via GPS and SIM-tracking tools to identify en-route delays (e.g., breakdowns, state border check-post delays).
- Bottleneck Resolution: Coordinate with the line-haul team to implement standby vehicles or alternative routes when delays occur, ensuring the delivery TAT is met.
3. POD (Proof of Delivery) Management
- Acknowledge & Record: Collect, verify, and systematically log physical and digital PODs (e-PODs) signed by receiving hubs or customers.
- Discrepancy Reporting: Flag Shortages, Damages, and Open Deliveries (SDO) recorded on the POD immediately to the customer service and billing teams.
- System Updating: Upload POD data into the Logistics Management System (LMS) or ERP (e.g., SAP, Oracle) within 24–48 hours to trigger the invoicing process.
4. Returns & Reverse Logistics
- RTO (Return to Origin) Handling: Manage non-delivered or rejected shipments returning to the transhipment hub.
- Gatepass Verification: Validate returned goods against the original invoice, Waybill (e-Way Bill), and return authorization documents.
- Sorting & Consolidation: Categorize returned stock into reusable, return-to-vendor (RTV), or liquidation bins, and arrange line-haul back to the primary fulfillment center.
5. Damaged Goods & Claims Treatment
- Damage Inspection: Conduct physical inspection of shipments received in compromised condition (e.g., wet, crushed, torn packaging).
- Documentation & Photographing: Generate a formal Damage Report with clear photographic evidence before unloading or forwarding.
- Salvage & Segregation: Move damaged items to a designated "Hold/Damaged Area" within the hub to prevent contamination of healthy inventory.
- Insurance Liaison: Provide accurate weight, item details, and incident reports to the insurance and finance teams to initiate claims processing.
Key Performance Indicators (KPIs)
- TAT Adherence: >95% on-time dispatch and arrival.
- POD Compliance: 100% accurate collection and system closure within the stipulated window.
- Route Efficiency: Reduction in overall cost-per-kilometer and empty miles.
- Damage Ratio: Maintaining transit and handling damages below the company's threshold (typically <0.5%).
- Reverse Logistics Cycle Time: Minimizing the days returned stock sits idle in the hub.
