Position Overview
We are looking for a highly organized, energetic, and detail-oriented Event Manager who can independently plan, coordinate, and execute events from concept to completion.
The ideal candidate should be capable of managing multiple events simultaneously while ensuring exceptional client satisfaction, seamless coordination with internal teams and vendors, and flawless on-ground execution.
Key ResponsibilitiesEvent Planning & Management
- Plan and execute corporate events, exhibitions, conferences, brand activations, roadshows, award ceremonies, and experiential marketing campaigns.
- Develop detailed event execution plans, timelines, and checklists.
- Manage multiple projects simultaneously while meeting strict deadlines.
- Ensure every event is delivered to the highest quality standards.
Client Management
- Understand client objectives, budgets, and event requirements.
- Present ideas, timelines, and execution plans to clients.
- Serve as the primary point of contact throughout the project lifecycle.
- Conduct regular client meetings and provide progress updates.
- Handle revisions, approvals, and feedback professionally.
Vendor & Production Coordination
Coordinate and manage vendors including:
- Fabrication partners
- Decor vendors
- Audio-Visual suppliers
- Lighting partners
- Artists and performers
- Hospitality vendors
- Printing vendors
- Rental agencies
- Logistics partners
- Venue teams
Negotiate pricing, monitor quality, and ensure timely delivery of all services.
Venue & Site Management
- Conduct venue recce and feasibility assessments.
- Prepare detailed venue layouts and operational plans.
- Coordinate setup and dismantling activities.
- Ensure compliance with venue regulations and safety standards.
- Supervise all on-site activities during event execution.
Team Coordination
Work closely with:

Ensure all departments work in sync and deliver according to project timelines.
Budget Management
- Prepare event budgets and cost estimates.
- Track expenses throughout the project.
- Optimize costs without compromising quality.
- Coordinate purchase orders and vendor payments.
- Maintain project profitability.
On-Ground Event Execution
- Lead event setup and rehearsals.
- Coordinate technical rehearsals with AV teams.
- Manage stage operations and backstage activities.
- Supervise registration, guest management, hospitality, and event flow.
- Resolve issues quickly during live events.
- Ensure smooth execution from setup to dismantling.
Documentation & Reporting
Maintain complete documentation including:
- Event timelines
- Production schedules
- Vendor contracts
- Purchase orders
- Budget trackers
- Client approvals
- Site plans
- Event reports
- Post-event analysis
Quality Assurance
- Ensure all branding and event elements meet approved designs.
- Conduct pre-event quality checks.
- Verify fabrication, print quality, and installation standards.

- Experience handling corporate events and brand activations.
- Ability to manage multiple events under tight deadlines.
- Experience working with agencies or event production companies is preferred.
