Job Description: Admin ExecutiveRole Overview
The Admin Executive at Ashoka Hospital will be responsible for ensuring seamless, day-to-day non-clinical operations. This role demands a proactive professional to oversee critical facility functions—including housekeeping, security, engineering maintenance, asset stores, and Diesel Generator (DG) fuel management. The executive will report directly to and assist the General Manager (GM) in operational oversight, compliance, and cost-control measures to maintain an efficient, safe, and patient-centric environment.
Key Responsibilities1. Facility & Maintenance Supervision
- DG & Fuel Management: Monitor the operations of Diesel Generator (DG) sets to guarantee uninterrupted power supply. Maintain meticulous logs of fuel consumption, manage diesel procurement, and implement measures to prevent fuel pilferage or wastage.
- Maintenance & Engineering Coordination: Oversee routine, preventive, and breakdown maintenance of hospital infrastructure (HVAC, plumbing, electrical systems, and civil works). Coordinate with biomedical and maintenance teams to minimize equipment downtime.
- Vendor & AMC Management: Liaison with external vendors, contractors, and Annual Maintenance Contract (AMC) providers for facility equipment. Ensure service levels meet hospital standards.
2. Housekeeping & Sanitation Oversight
- Hygiene Standards: Supervise the internal and outsourced housekeeping staff to maintain infection-control standards, cleanliness, and sanitation across all wards, ICUs, OTs, OPDs, and common areas.
- Waste Management: Ensure strict adherence to Biomedical Waste (BMW) management guidelines, segregation protocols, and safe disposal regulations as per local pollution control board norms.
- Audit & Inspection: Conduct daily facility rounds to audit cleanliness, identify areas of improvement, and ensure immediate rectification.
3. Security & Safety Management
- Security Operations: Supervise the hospital's security deployment to ensure the safety of patients, attendees, staff, and hospital assets.
- Crowd & Incident Control: Manage visitor footfall, enforce visiting hour protocols, and act as the first line of defense/escalation during operational conflicts or security breaches.
- CCTV & Surveillance: Oversee the functionality of CCTV monitoring systems, access control, and fire safety equipment (extinguishers, hydrants, and alarms). Conduct regular safety drills.
4. Stores & Inventory Control
- Admin Stores Management: Oversee the administration/general stores, ensuring optimal stock levels of housekeeping consumables, printing & stationery, linen, and general facility spares.
- Indents & Audits: Verify purchase indents, monitor stock issuance to various departments, and conduct monthly physical stock verification to prevent leakages or inventory variances.
5. Executive Assistance to General Manager
- Daily Operations: Assist the GM in implementing hospital policies, managing daily operational checklists, and tracking departmental performance metrics.
- Data & Reporting: Prepare regular operational MIS reports regarding fuel expenses, maintenance logs, security incidents, and vendor performance for the GM’s review.
- Liaisoning: Support the GM in coordinating with local municipal authorities, electricity boards, and regulatory bodies for renewals and statutory compliances.
Required Qualifications & Experience
- Education: Graduate in any discipline (B.Com, BBA, or Bachelor's in Hospital Administration is preferred). A postgraduate degree or diploma in Hospital Administration/General Management is a plus.
- Experience: 3 to 5 years of core administrative experience, ideally within a 50+ bedded hospital setup or premium hospitality industry.
- Technical Familiarity: Practical knowledge of operating DG sets, tracking fuel efficiencies, understanding basic electrical/plumbing maintenance, and managing inventory/ERP software.
