Job Summary
The Import Documentation Executive will be responsible for handling import documentation processes related to customs clearance and coordinating with shipping lines, clients, and customs authorities. The role also includes preparing and managing billing related to CHA services, ensuring accuracy, compliance, and timely processing of invoices.
Key Responsibilities
- Prepare and process import documentation such as Bill of Entry, delivery orders, invoices, packing lists, and other customs-related documents.
- Coordinate with clients to collect required documents for import clearance.
- Ensure accurate filing of documents with customs authorities and port authorities.
- Track shipment status and update clients regarding clearance progress.
- Maintain records of import documents and ensure compliance with customs regulations.
- Coordinate with shipping lines, freight forwarders, transporters, and port authorities.
Billing & Accounts Coordination
- Prepare and generate invoices for CHA services including documentation charges, clearance charges, transportation, and other service fees.
- Maintain billing records and ensure timely submission of invoices to clients.
- Coordinate with the accounts department for payment follow-ups and reconciliation.
- Verify vendor invoices and ensure proper billing documentation.
- Maintain proper billing records for audit and compliance purposes.
Required Qualifications
Graduate in Commerce / Business Administration or any relevant field. Additional certification in Logistics, Shipping, or International Trade will be an added advantage.
Required Experience
2–4 years of experience in Import Documentation with a CHA, Freight Forwarder, or Logistics company. Experience in customs clearance documentation and billing process.
Required Skills
- Good knowledge of Import documentation procedures and customs regulations.
- Familiarity with ICEGATE / customs filing systems is preferred.
- Proficiency in MS Excel, MS Office, and email communication.
- Strong coordination and communication skills.
- Ability to manage multiple shipments and deadlines.
- Attention to detail and documentation accuracy.
