Job Summary
The Head of Application & Visa is responsible for leading and managing the entire application and visa processing department, ensuring timely and accurate submission of student applications and visa files. The role also involves coordinating with B2B partners, overseas universities, and internal counselling teams to deliver a seamless admission and visa experience for students.
The ideal candidate should possess strong leadership skills, extensive knowledge of international admission and visa processes, and the ability to manage multiple stakeholders efficiently.
Key Responsibilities1. Team Leadership & Management
- Lead, mentor, and supervise the Application and Visa Processing Team.
- Allocate workloads and monitor team productivity and performance.
- Conduct regular team meetings, training sessions, and performance reviews.
- Develop and implement SOPs to improve departmental efficiency.
- Ensure adherence to company policies and quality standards.
2. Application Processing
- Oversee the end-to-end university application process.
- Ensure all applications are submitted accurately and within deadlines.
- Monitor pending cases and resolve application-related issues promptly.
- Review documents before submission to maintain high-quality standards.
- Coordinate with counsellors to obtain pending documents and information from students.
3. Visa Processing
- Manage the complete visa filing process for different study destinations.
- Review visa documents for accuracy and compliance.
- Ensure visa files meet embassy and immigration requirements.
- Guide the team on handling complex or exceptional visa cases.
- Monitor visa success rates and implement strategies for continuous improvement.
4. Coordination with B2B Agents
- Act as the primary point of contact for B2B education agents.
- Maintain strong professional relationships with partner agencies.
- Provide timely updates on application and visa progress.
- Resolve escalated issues from agents efficiently.
- Support agents with admission requirements and documentation processes.
5. University Relationship Management
- Coordinate with international universities regarding applications, offers, deposits, and admissions.
- Maintain regular communication with university representatives.
- Stay updated on admission criteria, policy changes, and intake deadlines.
- Escalate critical cases and negotiate solutions when required.
6. Cross-Department Collaboration
- Work closely with the Student Counselling Team to ensure smooth case transitions.
- Coordinate with Finance regarding tuition fee payments and deposits.
- Support Marketing and Business Development teams by providing admission and visa updates.
- Ensure effective communication between all departments involved in the student journey.
7. Compliance & Quality Assurance
- Ensure compliance with university, embassy, and immigration regulations.
- Conduct quality checks on applications and visa files before submission.
- Maintain confidentiality of student records and documentation.
- Develop internal quality control measures to minimize errors and rejections.
8. Reporting & Operations
- Prepare daily, weekly, and monthly operational reports.
- Track key metrics such as application turnaround time, visa approvals, pending cases, and team productivity.
- Analyze operational data and recommend process improvements.
- Maintain accurate records using CRM and internal management systems.

Required Qualifications
- Bachelor's degree (Master's degree preferred).
- Minimum 5+ years of experience in study abroad application and visa processing.
- Minimum 2+ years of experience in a leadership or managerial role.
- Strong knowledge of admission procedures and visa processes for major study destinations.
- Excellent leadership, organizational, and problem-solving skills.
- Strong communication and stakeholder management abilities.
- Proficiency in CRM systems and Microsoft Office tools.

Pay: ₹30,000.00 - ₹50,000.00 per hour
