Job description:
Key Roles & Responsibilities:
- Manage and maintain the calendars of the co-founders, ensuring effective scheduling and prioritisation.
- Provide day-to-day administrative support, including scheduling meetings, maintaining calendars, and preparing documents for senior leadership.
- Arrange and manage complete travel itineraries, including flights, trains, accommodation, visas, and local transportation for leadership and visiting guests.
- Handle email, phone, and face-to-face communications; draft routine correspondence; follow up on pending matters; and escalate urgent issues or reminders to the leadership office.
- Prepare, edit, and format presentations, reports, spread sheets, and other business documents required by senior leadership.
- Organize and maintain highly confidential files, records, and documents, ensuring accuracy, security, and accessibility.
- Coordinate internal and external meetings, including preparing agendas, recording minutes, and tracking follow-up actions.
- Act as a liaison between the CEO, Secretary & Co-Founder, department heads, field program managers, and external partners.
- Support planning and execution of special projects, events, and leadership initiatives as assigned.
- Organize and schedule appointments, conference calls, meeting rooms, and logistics such as taxis, couriers, and hotels.
- Maintain contact lists, filing systems (physical and digital), and office records.
- Manage courier services, incoming and outgoing packages, and ensure confirmations are shared with the relevant departments.
- Perform general administrative and clerical duties including typing, filing, copying, binding, scanning, and data entry.
- Assist with office operations by coordinating procedures, ordering office supplies, and working with concerned department heads.
- Prepare and track invoices and administrative documentation.
- Receive, sort, and distribute mail and greet and professionally assist visitors.
- Handle sensitive and confidential information with the highest level of discretion and professionalism.
- Resolve administrative issues and contribute to smooth office functioning.
- Maintain professional and technical knowledge through learning, workshops, and networking.
- Carry out any other duties assigned by the CEO and the Secretary & Co-Founder.
Pay: ₹25,000.00 - ₹30,000.00 per month
