Job Summary :
The Receptionist serves as the first point of contact for patients visiting the IVF hospital. The role involves managing appointments, patient registrations, inquiries, billing coordination, and providing a professional and compassionate experience for couples seeking fertility treatment.
Key ResponsibilitiesFront Desk Operations :
- Welcome patients and visitors professionally.
- Manage patient registration and maintain accurate records.
- Answer incoming calls and respond to inquiries regarding services, appointments, and hospital procedures.
- Schedule, reschedule, and confirm appointments for doctors and consultants.
- Direct patients to appropriate departments and assist with navigation within the hospital.
Patient Coordination :
- Coordinate patient flow to minimize waiting times.
- Communicate appointment reminders and follow-up schedules.
- Handle patient concerns and escalate issues when necessary.
- Maintain confidentiality of patient information and medical records.
Administrative Duties :
- Maintain front desk documentation and reports.
- Manage patient files and electronic medical records (EMR).
- Support billing and payment collection processes.
- Prepare daily appointment and visitor logs.
- Coordinate with nursing, laboratory, pharmacy, and medical teams.
Customer Service :
- Provide empathetic support to fertility patients and families.
- Ensure a positive patient experience throughout their visit.
- Handle sensitive situations with professionalism and discretion.
Qualifications :
- Bachelor's degree or Diploma in any discipline.
- 1–3 years of experience as a receptionist, preferably in a hospital, IVF center, fertility clinic, or healthcare setting.
- Proficiency in MS Office and hospital management software.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
