Job Purpose
The Dispatch Coordinator manages every outbound movement from the Central Warehouse to cafés, shop-in-shops, kitchens, B2B customers and D2C recipients. The role selects couriers, raises the Delivery Challan, generates e-way bills where applicable, manages LR / waybill documentation, hands the consignment over to the warehouse for loading, and follows up until a signed Proof of Delivery is on file. The KPI by which this role is judged is simple: OTIF to customers — on time, in full — with a signed POD to prove it.
Key ResponsibilitiesDispatch Planning (SOP-005)
- On receipt of an approved issue from the Warehouse Manager, verify destination, quantity, required delivery date and cost centre.
- Select courier / transporter from the approved panel — cost vs. service as per delivery-location category (intra-city Mumbai, interstate, B2B bulk, D2C).
- For interstate movements, only use registered transporters with valid e-way bill capability.
Documentation
- Raise Delivery Challan (YCPL-LOG-FORM-003) in triplicate, quoting source Barometer PO Number (where applicable), consignee, GSTINs (consignor and consignee), items, quantities, batch, vehicle / LR.
- Generate e-way bill on the government portal wherever value and distance thresholds apply.
- Hand over DC triplicate and e-way bill to Store Keeper for loading.
- Maintain the Dispatch Tracker with DC No., LR No., courier, vehicle, expected delivery date.
POD Management (SOP-006)
- Follow up with drivers / couriers to ensure POD (YCPL-LOG-FORM-004) is obtained with recipient's signature, stamp and date.
- Receive and verify PODs against DCs line by line within 48 hours (24 hours intra-city).
- Mark dispatches 'Closed' in the Dispatch Tracker and in Barometer only when a clean POD is on file.
- Escalate PODs pending beyond 7 days to the Logistics Head; beyond 14 days raise a Discrepancy Report.
Exception Handling
- Raise a Discrepancy Report (YCPL-LOG-FORM-005) for any POD showing shortage, damage or refusal.
- Coordinate customer returns — issue Return Goods Note, arrange pickup, hand back to warehouse for reverse GRN.
Courier Panel Hygiene
- Track courier performance (on-time percentage, damage rate) monthly.
- Flag underperforming transporters to Logistics Head for panel review.
Qualifications & ExperienceEssential
- Bachelor's degree.
- Working knowledge of e-way bill portal and Indian GST compliance for goods movement.
- Comfortable drafting and interpreting Delivery Challans, LR copies, and courier documentation.
Preferred
- Prior experience with courier aggregators (Shiprocket, Delhivery, BlueDart, etc.) or in-house fleet management.
- Exposure to multi-location retail fulfilment.
Experience
2–4 years in dispatch / outbound logistics / courier coordination with direct responsibility for POD collection.
Pay: ₹20,000.00 - ₹30,000.00 per month
