About the Role
We are a multi-entity startup organisation managing a real estate operations, NGO and a Church in Tambaram, Chennai. We are looking for a dependable, organised, and proactive Assistant Facility Manager to manage the day-to-day operations of our co-working space and NGO office. This role is the operational backbone of our physical premises — ensuring everything runs smoothly, clients are well-served, and the space is well-maintained at all times.
Key Responsibilities
1. Co-working Space Operations
- Manage daily opening and closing of the co-working facility
- Greet walk-in members and visitors professionally; manage seat allocations
- Handle co-working membership enquiries, registrations, and renewals
- Ensure cleanliness, maintenance, and presentation of all common areas
- Coordinate with housekeeping, electricians, and maintenance vendors
- Maintain inventory of office supplies, equipment, and utilities
- Monitor and report facility issues — AC, internet, furniture, power — promptly
- Prepare daily occupancy and operations report for the director
2. Trust Office Administration
- Manage trust office reception — receive visitors, donors, and partner organisations
- Maintain physical and digital filing systems for trust documents
- Handle incoming and outgoing trust correspondence — letters, parcels, emails
- Coordinate appointments and meetings for trust activities
- Assist in preparing donor receipts, acknowledgement letters, and notices
- Ensure trust office protocols and confidentiality standards are followed
3. Client & Member Handling
- Attend to walk-in, phone, and WhatsApp enquiries promptly and professionally
- Route real estate, co-working, and trust enquiries to the right person
- Follow up on billing, payments, and renewals with members
- Maintain a warm, welcoming, and service-oriented environment
- Handle client concerns calmly and escalate where necessary
4. AI Tool-Assisted Operations
- Use Zoho Desk or similar tools to track facility requests and tickets
- Maintain booking records and billing via Vyapar or Google Sheets
- Send member communications via WhatsApp Business
- Follow daily checklists maintained on Notion or Google Workspace
- Willingness to learn and use AI productivity tools as introduced
Required Qualifications & Skills
Education
Any Bachelor's degree (Commerce or Management preferred)
Languages
English and Tamil mandatory; additional languages an advantage
Technical
Basic MS Office, Google Workspace, WhatsApp Business
Attitude
Punctual, organised, warm, reliable, and protocol-driven
Communication
Professional phone, email, and in-person etiquette
Added Advantage (Not Mandatory)
Candidates with the following will be preferred during selection:
- Experience in co-working, hospitality, facility management, or reception roles
- Familiarity with AI tools — Notion, Zoho, Google Workspace automation
- Multilingual ability (Hindi, Telugu, Malayalam)
- Prior experience handling trust, NGO, or church operations
- Basic knowledge of billing or invoicing software
