We are looking for a proactive and commercially driven Procurement Executive to strengthen our sourcing and purchasing operations and support the company's growth initiatives.
Role Overview
The Procurement Executive will be responsible for sourcing suppliers, negotiating commercial terms, managing purchase orders, and ensuring the timely procurement of raw materials, packaging materials, and consumables. The role requires strong vendor management skills, cost optimization capabilities, and close coordination with production, warehouse, quality, and product development teams.
The ideal candidate should possess excellent negotiation skills, a strong understanding of procurement processes, and the ability to manage multiple priorities in a fast-paced manufacturing environment.
Key Responsibilities Sourcing & Vendor Development
- Identify, evaluate, and onboard new suppliers and vendors to support business requirements.
- Obtain quotations and conduct comparative analysis based on pricing, quality, lead times, and commercial terms.
- Conduct market research to identify alternate sourcing options and cost reduction opportunities.
- Develop and maintain a reliable supplier base for raw materials, packaging materials, accessories, and consumables.
Procurement Operations
- Create, issue, and manage Purchase Orders (POs) in accordance with approved procurement procedures.
- Ensure timely procurement of:
- Raw Materials
- Packaging Materials
- Consumables
- Production-related supplies
- Monitor procurement schedules to avoid stock-outs and production disruptions.
- Track purchase requisitions and ensure timely order processing.
Commercial Negotiation
- Negotiate pricing, payment terms, delivery schedules, and contractual agreements with suppliers.
- Support cost-saving initiatives through strategic sourcing and supplier negotiations.
- Monitor procurement expenses and contribute towards achieving budgeted purchasing targets.
Supplier Relationship Management
- Maintain strong and professional relationships with suppliers to ensure service continuity.
- Evaluate supplier performance based on:
- Product Quality
- Delivery Performance
- Cost Competitiveness
- Responsiveness
- Address supplier-related issues including delays, shortages, and quality concerns.
- Coordinate with suppliers to ensure corrective actions are implemented when required.
Coordination & Inventory Planning
- Follow up with suppliers to ensure on-time deliveries and shipment updates.
- Monitor lead times and proactively plan purchases to maintain optimal inventory levels.
- Coordinate closely with Production, Warehouse, Quality, and Planning teams to align procurement activities with operational requirements.
Product Development Support
- Support Research & Development (R&D) and Product Development teams by sourcing new materials, components, and vendors for upcoming product launches.
- Assist in supplier trials, sample evaluations, and commercial feasibility assessments.
Reporting & Documentation
- Maintain accurate procurement records, supplier databases, and purchasing documentation.
- Prepare procurement MIS reports, cost analyses, and savings reports for management review.
- Ensure proper documentation and audit readiness of procurement transactions.
Qualifications / Education
- Bachelor's Degree in Commerce, Supply Chain Management, Business Administration, Procurement, or a related field.
Experience
- 2–4 years of relevant experience in Procurement, Purchasing, or Supply Chain functions.
- Experience in Cosmetics, Personal Care, FMCG, Manufacturing, or Consumer Goods industries will be preferred.
Skills & Competencies
- Strong negotiation and vendor management skills.
- Good understanding of procurement processes and sourcing strategies.
- Proficiency in Microsoft Excel and ERP systems, preferably Odoo.
- Excellent analytical and cost-management abilities.
- Strong communication and stakeholder management skills.
- Ability to manage multiple priorities and work within deadlines.
- Detail-oriented with a process-driven approach.
