Job Description
We are looking for an experienced and detail-oriented Freight Forwarding & Export Operations Executive to manage end-to-end sea and air freight export operations, including customer communication, freight pricing, shipment bookings, documentation, container movement, customs coordination, Air Waybill (AWB) and Bill of Lading (BL) verification, and payment follow-up.
Key ResponsibilitiesExporter Communication & Business Coordination
- Send professional introduction emails to exporters introducing the company, freight forwarding services, logistics solutions, and international transportation capabilities.
- Communicate with existing and prospective exporters to understand their sea and air shipment requirements.
- Send emails to exporters regarding freight booking requirements, shipping schedules, air cargo schedules, and pricing.
- Obtain freight rates from shipping lines, airlines, freight forwarders, and overseas agents.
- Prepare and send competitive freight quotations to exporters.
- Follow up with exporters for quotation acceptance and shipment confirmation.
- Once the exporter confirms the shipment, send the necessary booking confirmation/job initiation email and coordinate the complete shipment process.
- Follow up with exporters for booking confirmation, shipping instructions, required documents, KYC, and payment.
- Maintain professional and timely email communication with exporters throughout the shipment cycle.
Sea Freight & Container Operations
- Handle FCL and LCL sea freight bookings for export shipments.
- Coordinate with shipping lines and freight forwarders for container bookings.
- Obtain and follow up on booking confirmations and CRO (Container Release Order).
- Coordinate with exporters to collect all required KYC and shipment documentation.
- Complete and follow up on shipping line KYC verification and documentation requirements.
- Coordinate with exporters, shipping lines, freight forwarders, customs clearance teams, and internal departments.
- Coordinate with the customs clearance team for export documentation and customs clearance.
- Follow up with all concerned parties until the container is picked up and gated in within the required cut-off timelines.
- Monitor vessel schedules, SI cut-offs, documentation cut-offs, port cut-offs, and container gate-in deadlines.
Air Freight & Air Transportation Operations
- Handle air freight bookings and coordinate air cargo shipments from origin to destination.
- Obtain and compare air freight rates from airlines, consolidators, and freight forwarding agents.
- Prepare and send air freight quotations to exporters and customers.
- Coordinate with airlines and agents for air cargo booking confirmations.
- Check airline schedules, flight availability, transit times, cargo cut-offs, and applicable routing options.
- Coordinate cargo pickup, airport delivery, export customs clearance, and cargo handover to the airline.
- Collect and verify required air shipment documents, including commercial invoices, packing lists, shipping instructions, KYC documents, and other applicable export documents.
- Prepare, check, and coordinate Air Waybill (AWB) documentation.
- Track air shipments from booking and cargo acceptance through flight departure and arrival at destination.
- Coordinate with destination agents for delivery and provide shipment status updates to exporters/customers.
- Handle any operational issues related to air cargo bookings, documentation, delays, and airline coordination.
- Ensure timely completion of all air freight documentation and operational requirements.
Documentation & Bill of Lading / Air Waybill
- Coordinate and follow up for the Draft Bill of Lading (BL) for sea shipments.
- Carefully verify BL details, including shipper, consignee, notify party, cargo description, container number, seal number, weight, and other relevant details.
- Coordinate with the exporter for approval of the draft BL.
- Follow up with the shipping line for final BL issuance.
- Arrange and follow up for Telex Release / Surrender BL wherever applicable.
- Prepare, check, and coordinate Air Waybill (AWB) documentation for air shipments.
- Ensure all shipping, air freight, and export documentation is complete and accurate.
Pricing, Invoicing & Payment Follow-Up
- Obtain freight and local charges from shipping lines, airlines, agents, and service providers.
- Prepare and send freight quotations and pricing proposals to exporters for both sea and air shipments.
- Follow up with exporters for quotation acceptance and shipment confirmation.
- Raise invoices and coordinate with exporters for payment collection.
- Follow up regularly to ensure payments are received within agreed timelines.
- Maintain proper records of quotations, bookings, invoices, payments, and shipment documents.
Shipment Tracking & Coordination
- Track shipments from the initial booking stage through container pickup, customs clearance, vessel departure, flight departure, and final delivery.
- Provide timely shipment updates to exporters and internal teams.
- Coordinate with shipping lines, airlines, freight forwarders, customs brokers, transporters, and overseas agents.
- Resolve operational issues and coordinate with relevant parties to ensure shipments move as scheduled.
- Ensure complete follow-up until final BL issuance, surrender/telex release of BL, or AWB completion and air cargo delivery, as applicable.
Required Skills & Experience
- 2–5 years of experience in freight forwarding, shipping, export operations, air freight, or logistics.
- Practical experience in both sea freight and air freight operations is preferred.
- Good knowledge of FCL/LCL export shipments, container booking procedures, and air cargo bookings.
- Experience dealing with shipping lines, airlines, exporters, customs clearance teams, freight forwarders, transporters, and overseas agents.
- Knowledge of KYC procedures, CRO, SI submission, Bill of Lading, Telex Release, Surrender BL, Air Waybill (AWB), and air cargo documentation.
- Strong email drafting and professional communication skills.
- Strong follow-up, coordination, and negotiation skills.
- Ability to obtain and negotiate competitive freight rates.
- Ability to manage multiple sea and air shipments simultaneously and work within strict shipping and airline cut-off timelines.
- Good knowledge of MS Office and email communication.
- Strong attention to detail, especially while checking shipping, air freight, and export documents.
Preferred Candidate
The ideal candidate should be proactive, organized, and capable of independently handling the complete sea and air freight shipment cycle, from approaching exporters and providing freight pricing to booking, KYC, documentation, container/cargo movement, customs coordination, BL/AWB verification, payment collection, and final surrender/telex release of the BL or completion of air cargo delivery.
The candidate should have excellent communication, email drafting, negotiation, and follow-up skills and be comfortable handling exporter communications, freight pricing, and business development through professional email correspondence.
