About the Role – Office Operations & Training Coordinator
This is a combined role sitting at the intersection of base level HR administration, office operations, and training programme management. You will be the operational backbone of two critical functions — keeping day-to-day operations and admin running smoothly, and ensuring our structured staff training programme runs without interruption.
This is not a strategic HR role. It is a hands-on, systems-driven, get-things-done role for someone who is naturally organised, genuinely comfortable with technology, and takes ownership without needing to be chased.
What You Will DoOperations & Administration
– Coordinate onboarding for all new joiners — system access, equipment setup, induction scheduling, and first-day experience
– Manage leave records and coordinate leave requests across the team
– Be the first point of contact for general staff queries, directing people appropriately
– Manage petty cash, small expense tracking, and coordinate delivery of equipment and devices for new starters
– Maintain accurate, up-to-date office records and personnel files
– Send team-wide communications, meeting links, and scheduling coordination
– Provide administrative support across People Operations as required
Training Programme Co-ordination
– Open the training dashboard each morning and review it — flag any concerns immediately to the assigned team leaders and senior management
– Action all red and amber performance flags without delay — gather context and notify the right people with accurate information
– Manage the fortnightly new cohort launch process — confirm trainer availability, update the trainee register, send session links, and brief the lead trainer
– Maintain the training tracker on SharePoint — add new trainees, update statuses, log escalations as directed
– Coordinate gate assessments — confirm all markers are available, send calendar invites, collect and upload feedback on the same day
– Upload session recording transcripts and links to the tracker on the day of each session
– Follow up with trainers who have not submitted their session scores within 24 hours
– Prepare a brief weekly training summary for senior management
What We Are Looking ForEssential
– Demonstrably tech-comfortable — you use digital tools confidently, you figure things out when something does not behave as expected, and you understand how basic systems work without needing fundamentals explained to you
– Hands-on experience with Microsoft 365 — Word, Excel, Teams, and Outlook — in a real working environment
– Highly organised with strong attention to detail — you notice when something is off before it becomes a problem
– Clear and professional written communication — you can write a concise, accurate message to a senior person without being prompted on what to include
– Able to manage multiple concurrent tasks without losing track of any of them
– Discreet and trustworthy with sensitive Office and personnel information
– Proactive by nature — you do not wait to be told something is an issue
Strongly Preferred
– Previous experience in an administration or office coordination role
– Exposure to training coordination, learning and development operations, or structured programme management
– Comfortable working with Excel spreadsheets at an intermediate level
Not Required
– Strategic HR or HR business partner experience
– Recruitment expertise — this is managed separately by a dedicated team
– Accounting or payroll knowledge
What Success Looks Like
In your first 30 days, you have learned the training system, can run the daily dashboard check independently, and have completed at least one full cohort launch without being guided through each step.
By 90 days, performance flags are being actioned within the hour, the escalation log is always current, no trainer has gone more than 48 hours without a follow-up on missing scores, and senior management is not having to ask where anything is.
Ongoing — the training programme runs continuously and leadership only needs to be involved when a decision needs to be made, not when something needs to be chased.
What This Role Is Not
This role does not involve delivering training content, making HR decisions, handling complex employee relations matters, or managing the recruitment pipeline. Those responsibilities sit with other members of the team. Your job is to ensure that the systems, processes, and logistics around people and training run without friction so that the people who make decisions have accurate, timely information to do so.
Pay: ₹8,530.93 - ₹25,000.00 per month
