We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support senior management in day-to-day business operations. The ideal candidate will act as a key liaison between management, clients, vendors, investors, and internal teams while ensuring efficient coordination of administrative, operational, and strategic activities.
Key Responsibilities
Executive Support
- Manage calendars, appointments, meetings, and travel arrangements for senior management.
- Prepare meeting agendas, presentations, reports, and minutes of meetings.
- Screen and prioritize emails, calls, and correspondence.
- Follow up on action items and ensure timely completion of tasks.
Business Coordination
- Coordinate with internal departments, clients, suppliers, consultants, and stakeholders.
- Assist in project management and track progress on key initiatives.
- Organize board meetings, investor meetings, and business reviews.
- Maintain confidential records, contracts, and business documents.
Administrative Management
- Handle document preparation, filing, and record management.
- Manage office administration and support operational requirements.
- Coordinate domestic and international travel, accommodation, and logistics.
- Monitor expenses and assist with budget tracking.
Communication & Relationship Management
- Draft professional emails, letters, and business communications.
- Act as a point of contact for senior management.
- Maintain strong relationships with business partners, investors, and clients.
- Ensure smooth communication between management and various stakeholders.
Research & Analysis
- Conduct market research and prepare business summaries.
- Assist with due diligence, data collection, and business presentations.
- Prepare reports and dashboards for management review.
- Track industry developments and business opportunities.
Required Qualifications
- Bachelor's degree in Business Administration, Commerce, Management, or related field.
- 3–7 years of experience as an Executive Assistant, Personal Assistant, or Administrative Manager.
- Excellent written and verbal communication skills in English.
- Strong proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace.
- Ability to handle confidential information with discretion.
- Strong organizational, multitasking, and time-management skills.
Preferred Qualifications
- Experience supporting founders, directors, or senior executives.
- Experience in manufacturing, exports, finance, hospitality, technology, or investment-related businesses.
- Familiarity with CRM systems, project management tools, and business reporting.
