The Export Coordinator will support the export sales team by coordinating international orders, export documentation, logistics, shipment tracking, and communication with overseas customers, distributors, freight forwarders, and internal departments. The role ensures timely execution of export orders while complying with international trade regulations.
Key ResponsibilitiesExport Order Management
- Coordinate export orders from receipt to final shipment.
- Prepare and process Proforma Invoices (PI), Sales Orders, and Purchase Orders.
- Follow up with production, planning, and dispatch teams to ensure timely order execution.
- Maintain export order trackers and shipment schedules.
Export Documentation
- Prepare and verify export documents including:
- Commercial Invoice
- Packing List
- Shipping Bill
- Bill of Lading (BL)
- Airway Bill (AWB)
- Certificate of Origin
- Phytosanitary/Fumigation Certificates (if required)
- Insurance Documents
- Export Declaration Forms
- Ensure compliance with customs and DGFT regulations.
Logistics Coordination
- Coordinate with freight forwarders, CHA (Custom House Agents), shipping lines, and transporters.
- Arrange container bookings and shipment schedules.
- Track shipments and provide updates to customers.
- Resolve shipment delays and logistics issues.
Customer Coordination
- Communicate regularly with overseas distributors and customers.
- Share shipment status, dispatch details, and required documentation.
- Handle customer inquiries regarding orders and deliveries.
Banking & Export Compliance
- Coordinate with banks for export documentation and payment realization.
- Follow up on Letter of Credit (LC), Advance Payments, and Export Collections.
- Maintain records for export incentives and compliance requirements.
MIS & Reporting
- Prepare export sales reports and shipment reports.
- Maintain customer database and export documentation records.
- Update management on pending shipments, collections, and order status.
Required Qualifications
- Graduate in Commerce, Business Administration, International Business, Logistics, or related field.
- Additional certification in Export-Import Management preferred.
Experience
- 0–2 years of experience in export coordination.
- Experience in FMCG, Food Processing, Confectionery, or Manufacturing industry preferred.
Skills Required
- Knowledge of export documentation and procedures.
- Understanding of international trade and logistics.
- Familiarity with DGFT, Customs, and export regulations.
- Proficiency in MS Excel, ERP, and export documentation software.
- Strong communication and coordination skills.
- Ability to work under deadlines.
Pay: ₹13,329.07 - ₹23,000.00 per month
