1. Tender Identification & Analysis
- Monitor government portals (GeM, CPPP, e-Procurement, PMRDA, State Tender Portals, etc.) and private sector tender websites.
- Identify relevant tender opportunities matching company capabilities.
- Review tender documents, technical specifications, commercial terms, and eligibility criteria.
- Prepare bid/no-bid analysis and obtain management approval.
2. Tender Preparation & Submission
- Prepare technical and commercial bid documents.
- Coordinate with Engineering, Production, QA, Finance, Procurement, Legal, and Project teams for required inputs.
- Prepare compliance statements, checklists, declarations, and supporting documents.
- Ensure accurate and timely submission of bids through online/offline modes.
- Maintain version control of tender documents.
3. Costing & Commercial Support
- Coordinate with costing and finance teams for pricing.
- Prepare commercial quotations and price comparison sheets.
- Ensure competitive yet profitable pricing strategies.
- Review payment terms, delivery schedules, taxes, warranties, and penalties.
4. Documentation & Compliance
- Maintain updated company credentials, certifications, registrations, and statutory documents.
- Arrange EMD, Bid Security, Bank Guarantees, Performance Guarantees, and insurance documents.
- Ensure compliance with tender conditions and customer requirements.
- Maintain tender documentation and records for audit purposes.
5. Customer & Vendor Coordination
- Attend pre-bid meetings and technical discussions.
- Respond to customer queries and submit clarifications.
- Coordinate with vendors and subcontractors for quotations and technical inputs.
- Build strong relationships with government departments and customers.
6. Contract Management
- Review Purchase Orders, Contracts, and Letter of Awards.
- Coordinate contract execution with project teams.
- Track amendments, variations, and contractual obligations.
- Support project handover after order receipt.
7. MIS & Reporting
- Maintain tender tracker and bid status reports.
- Analyse win/loss ratios and identify improvement opportunities.
- Prepare monthly management reports and business pipeline updates.
- Maintain records of submitted, awarded, and lost tenders.
Educational Qualification
- Bachelor's Degree in Engineering / Commerce / Business Administration / Supply Chain / Mechanical / Electrical / Civil.
- MBA (Marketing/Operations) preferred for Manager-level roles.
Experience
Tender Executive
- 2–5 years of experience in tendering, bid management, or contract administration.
- Tender Manager
- 7–12 years of experience managing government and private sector tenders with a proven record of successful bid submissions.
Pay: ₹250,000.00 - ₹400,000.00 per year
