Experience: 0 – 2 years (Freshers with the right aptitude are welcome) About the Role We are looking for a sharp, fast, and highly dependable individual to join the Managing Director’s Office (MDO) in a dual-capacity role: Executive Assistant to the MD and Process Coordinator for the company’s business systems. This is not a routine desk job. You will work directly with the Managing Director every day, acting as their representative across the organization — following up on delegated tasks, auditing operational systems, managing communication and schedules, and ensuring that nothing falls through the cracks. You will sit at the nerve centre of the company and gain first-hand exposure to how a manufacturing business is run at the leadership level. Key Responsibilities A. Executive Support (Working Directly with the MD) Act as the MD’s official representative for all follow-up, coordination, and documentation of delegated tasks across departments. Manage the MD’s calendar end-to-end: schedule meetings, send invites, set reminders, resolve conflicts, and ensure the MD is always prepared for what’s next
Speed and presence of mind — you can think on your feet, grasp instructions in one go, act quickly, and handle unexpected situations calmly and intelligently. Strong verbal communication — clear, confident spoken Hindi and English; comfortable speaking with senior managers, clients, and vendors on the MD’s behalf. Excellent phone etiquette — a large part of this role is handled over calls; you must be professional, warm, and effective on the phone. MS Excel (working proficiency) — comfortable with data entry, sorting/filtering, basic formulas, and maintaining trackers. Fast and accurate typing — minimum 35–40 WPM with high accuracy; your written work will be relied upon directly. Ability to read, summarize, and communicate information verbally — you should be able to go through documents, emails, or data and brief the MD crisply and accurately. Exceptional attention to detail — accuracy in notes, minutes, data, and messages is non-negotiable. Absolute confidentiality and integrity — you will handle sensitive business and personal information every day. Ownership mindset — proactive, dependable, and accountable; you get things done without needing reminders. Professional boundaries — willingness to maintain a professional distance from operational staff and function as a neutral, objective coordinator. Prefer-to-Have (Not Mandatory) Working knowledge of Google Workspace (Gmail, Google Calendar, Google Sheets, Google Drive). If you don’t know it yet, we will train you. Prior experience as an Executive Assistant, Secretary, Office Coordinator, or Admin Coordinator (0–3 years). Familiarity with MIS reports, ERP systems, or process/flowchart-based working. Shorthand, dictation, or transcription skills. Basic drafting skills for official letters and business emails
