Job Summary
An Assistant Manager in Administration department is responsible for overseeing various administrative tasks in a factory, including housekeeping, petty cash, transport and Odoo software data updates, cleaning supplies inventory, and canteen operations. Their responsibilities include collaborating with different departments to ensure maintenance, transport, and security are managed effectively, and maintaining a safe and well-maintained working environment for all employees.
Primary Roles and Responsibilities
1. Developing and implementing housekeeping procedures to maintain cleanliness and hygiene standards.
2. Monitoring and training housekeeping staff, ensuring adherence to established protocols.
3. Monitoring and managing the inventory of cleaning supplies and equipment. 4.Conducting regular inspections to ensure compliance with safety regulations and cleanliness standards.
5.Coordinating with external vendors for specialized cleaning services as required. 6.Overseeing canteen operations regularly, ensuring proper quantity and quality of meals, cleanliness, on-time delivery, and adherence to food safety standards.
7.Addressing employee feedback and complaints about food promptly to maintain high satisfaction levels.
8.Coordinating and scheduling regular maintenance and repair work for electrical and plumbing systems in the factory.
9.Developing and implementing preventive maintenance schedules to minimize disruptions and equipment downtime.
10.Responding promptly to electrical and plumbing emergencies and resolving issues efficiently.
11.Following up with the electrical and civil departments for new requirements.
12.Utilizing Odoo software for maintenance and tracking mileage for both goods and passenger vehicles.
13.Generating fuel requests and ensuring follow-up with vendors and the accounts department until bills are settled.
14.Maintaining petty cash and monitoring expenditures for areas of responsibility. 15.Maintaining accurate records and preparing reports related to housekeeping, canteen, maintenance, and security activities.
16.Liaising with other departments and managers to ensure effective coordination and support.
17.Identifying opportunities for process improvement and implementing best practices. 18.Staying updated with industry trends, regulations, and advancements related to assigned areas.
19.Preparing and sharing MIS reports to the higher authority regularly.
20.Preparing and sharing reports/information to higher authority on periodically, as required.
21.Supervise the operations of the employee hostel, ensuring a safe, clean, and comfortable living environment.
22.Manage hostel staff, including hiring, training, scheduling, and performance evaluations.
23.Ensure compliance with regulations and policies related to employee accommodations. 24.Maintain accurate records of hostel occupancy
25.Address employee concerns or complaints related to hostel facilities promptly. 26.Responsible for scheduling vehicle for transportation of employees.
27.Responsible for periodic maintenance of vehicles.
28.Responsible for allocation of drivers for vehicles.
