We are seeking a proactive, hyper-organized, and highly trustworthy Personal Assistant to act as the primary operational partner and gatekeeper for the principal. This is not a passive clerical role; you will be the engine behind the scenes, anticipating logistical needs, streamlining daily operations, and ensuring nothing falls through the cracks.
The ideal candidate handles high-pressure environments with calm execution, maintains absolute confidentiality, and possesses the professional authority to coordinate teams on the principal’s behalf.
Key Responsibilities1. Calendar & Gatekeeping
- Time Optimization: Extensively manage complex calendars, scheduling meetings, resolving conflicts, and preserving focus blocks.
- Inbox & Communication Filtering: Act as the first point of contact for emails, messages, and calls—routing priority inquiries and handling standard responses independently.
- Meeting Coordination: Prepare agendas, draft presentations, attend key sessions to record action-oriented meeting minutes, and track follow-ups.
2. Operational & Project Liaison
- Team Support: Act as a "second-in-command" to follow up with internal teams and external partners on critical project deadlines.
- Research & Documentation: Conduct preliminary market, vendor, or project research and compile concise, structured briefs.
- System Setup: Build and maintain clean digital filing systems, shared drives, and tracker tools (e.g., Asana, Notion, or Excel).
3. Travel & Logistics Coordination
- Itinerary Building: Handle end-to-end travel logistics including flights, accommodation, ground transit, and visas across multiple time zones.
- Expense Management: Log and categorize operational expenses, reconcile receipts, track billing hours, and assist with basic digital bookkeeping.
Candidate Requirements
- Experience: 3+ years of experience as a Personal Assistant, Executive Assistant, or Lead Operations Coordinator.
- Communication: Elite verbal and written communication skills; comfortable liaising with both high-profile clients and ground-level vendors.
- Tech Savvy: High proficiency in Google Workspace, Microsoft Office (Excel, PowerPoint), and modern task managers (Trello, Slack, or Notion).
- Mindset: A proactive "think ten steps ahead" attitude with a proven track record of exercising impeccable discretion.
Pay: ₹20,279.34 - ₹43,796.33 per month
