Shakti APIFoods Pvt. Ltd. is a leading honey processing and export company based in Punjab, serving domestic and international markets. With multiple brands, export operations and a growing business, we are looking for a highly organized and proactive Executive Assistant to the Managing Director to work closely with the MD and support day-to-day management and business activities.
Role Overview
The Executive Assistant will work directly with the Managing Director and will be responsible for managing schedules, communication, follow-ups, meetings, documentation and coordination across different functions of the company.
This is a high-responsibility role requiring excellent organizational skills, discretion, communication abilities and the ability to work independently.
Key Responsibilities
- Manage the MD's calendar, meetings, appointments and daily schedule.
- Coordinate and follow up on tasks assigned by the MD to different departments.
- Maintain a clear record of pending tasks, deadlines and follow-ups.
- Prepare meeting agendas, notes, minutes and action points.
- Ensure timely follow-up with internal teams, clients, suppliers and other stakeholders.
- Handle professional correspondence, emails, messages and communication on behalf of the MD when required.
- Prepare presentations, reports, summaries and other documents as required by the MD.
- Coordinate with departments such as Sales, Export, Finance, Production, Quality, Purchase and Logistics.
- Assist the MD in monitoring important business activities and ensuring that critical matters receive timely attention.
- Maintain confidential information and handle sensitive business matters with complete discretion.
- Organize and maintain important documents, records and correspondence.
- Coordinate domestic and international travel arrangements, meetings and itineraries when required.
- Assist in preparing information and data required for management decisions.
- Follow up with clients and business associates on important matters as directed by the MD.
- Support the MD in special projects, business initiatives and other assignments.
Candidate Profile

Skills Required
- Excellent English communication skills – written and verbal
- Good working knowledge of MS Office / Google Workspace, particularly Excel, Word and PowerPoint
- Strong email and professional communication skills
- Good organizational and time-management skills
- Ability to prepare professional reports, presentations and documents
- Experience with task-management or CRM tools will be an advantage
Experience & Qualification
- Graduate in any discipline; MBA or relevant management qualification will be an advantage.
- 2–5 years of experience as an Executive Assistant, Personal Assistant, Management Assistant or similar role.
- Experience working directly with a MD, CEO, Director or senior management will be preferred.
- Experience in an FMCG, manufacturing, export or trading company will be an advantage.
Important
This role requires someone who can take ownership of responsibilities and ensure that things actually get done.
The ideal candidate should be comfortable following up with people across different levels of the organization, managing confidential information and keeping the MD informed about important pending matters.
This is not a routine administrative role. It is a management-support role requiring initiative, maturity and strong execution skills.
Pay: ₹35,000.00 - ₹40,000.00 per month
