About the Role
We are looking for a proactive, highly organized, and self-driven Admin Executive to manage end-to-end office administration for our growing Mumbai office. This role is ideal for someone who thrives in a fast-paced startup environment, takes ownership, and is passionate about creating an exceptional workplace experience for both employees and visitors.
As we establish our new office, you will play a key role in setting up the workspace, managing daily operations, and ensuring a seamless employee experience.
Key Responsibilities
- Lead the setup and operational readiness of the new Mumbai office.
- Oversee day-to-day office administration and facility management.
- Coordinate with vendors, contractors, landlords, and service providers.
- Manage office supplies, assets, inventories, and procurement.
- Ensure smooth functioning of housekeeping, security, maintenance, and office infrastructure.
- Organize employee engagement activities and create a positive workplace environment.
- Handle travel arrangements, meeting room bookings, and event coordination.
- Maintain office budgets, process invoices, and track administrative expenses.
- Ensure compliance with office policies, safety standards, and statutory requirements.
- Act as the primary point of contact for employees regarding workplace and administrative support.
- Continuously improve office processes and identify opportunities to enhance employee experience.
Requirements
- Bachelor's degree in any discipline.
- 3–4 years of experience in Office Administration, Workplace Operations, Facilities Management, or Corporate Administration.
- Prior experience working in a startup or fast-paced organization is highly preferred.
- Experience in setting up or managing a new office will be an added advantage.
- Strong vendor management and negotiation skills.
- Excellent communication and interpersonal skills.
- Highly organized with exceptional attention to detail.
- Ability to multitask, prioritize effectively, and work independently.
- Customer-first and employee-centric mindset.
- Proficient in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace.
