We are seeking a highly organized and customer-focused Front Desk Executive to be the first point of contact for our company. This role is crucial in creating a positive first impression for all visitors and callers, ensuring smooth daily operations of the reception area, and providing essential administrative support.
- Warmly greet and welcome visitors, clients, and employees with a professional and friendly attitude, directing them to the appropriate person or department.
- Answer, screen, and forward incoming phone calls promptly and courteously, providing information, taking messages, or redirecting calls as necessary.
- Manage the reception area, ensuring it remains tidy, presentable, and well-stocked with necessary materials at all times.
- Receive, sort, and distribute daily mail, deliveries, and couriers, and prepare outgoing mail and packages.
- Maintain security by following procedures, monitoring logbook, and issuing visitor badges when required.
- Schedule and confirm appointments, meetings, and conference room bookings, managing calendars as needed.
- Perform general administrative duties such as data entry, filing, scanning, photocopying, and maintaining office supplies inventory.
- Assist with basic accounting tasks, such as processing invoices or expense reports, under supervision.
- Handle inquiries and provide accurate information about the company to callers and visitors.
- Collaborate with other administrative staff to ensure seamless office operations and support various departments.
- Operate office equipment such as printers, fax machines, and projectors.
- Assist in organizing company events, meetings, and catering arrangements as required.
