Key Responsibilities
- Manage daily administrative operations and ensure smooth office functioning.
- Handle end-to-end travel desk activities including flight, hotel, cab, and other travel arrangements for employees, faculty, leadership, and guests.
- Coordinate with travel agencies, hotels, vendors, and service providers for bookings, confirmations, cancellations, rescheduling, and issue resolution.
- Prepare and maintain travel itineraries, schedules, trackers, invoices, and related documentation.
- Coordinate with internal teams for administrative requirements and ensure timely closure of requests.
- Manage vendor coordination, invoice tracking, office supplies, and basic procurement activities.
- Maintain administrative records, reports, MIS, and documentation with accuracy.
- Support meeting arrangements, office events, and other administrative activities.
- Handle urgent travel requirements and last-minute changes with efficiency.
- Ensure compliance with company policies, approval processes, and confidentiality of employee information.
- Use digital tools and technology platforms to improve administrative efficiency and maintain accurate records.
Required Skills & Competencies
- Tech-savvy with proficiency in MS Office, Excel, Google Workspace, travel portals, and online tools.
- Strong administrative, coordination, and follow-up skills.
- Excellent communication and stakeholder management abilities.
- Professional, polished, and confident while interacting with employees, leadership, and vendors.
- Assertive, proactive, and solution-oriented approach.
- Strong attention to detail with the ability to manage multiple priorities.
- Ability to work independently and take ownership of responsibilities.
Candidate Profile
- Graduate in any discipline.
- 3–7 years of experience in Administration, Office Operations, Travel Desk, or similar roles.
- Experience in corporate travel coordination will be preferred.
- Immediate joiners preferred.
Contract Duration: 3–6 Months
