We are looking for a professional, organized, and customer-focused Front Desk cum Admin Executive to efficiently manage front office operations and provide administrative support.
Key ResponsibilitiesFront Office Management
- Greet and welcome visitors, clients, vendors, and employees professionally.
- Handle incoming and outgoing telephone calls, emails, and courier services.
- Maintain the visitor register and ensure visitor access protocols are followed.
- Coordinate meeting room bookings and arrange refreshments when required.
Administrative Support
- Manage office administration activities and ensure smooth day-to-day operations.
- Maintain office supplies, stationery inventory, and pantry requirements.
- Coordinate with vendors for housekeeping, security, maintenance, and office services.
- Handle courier, postal, and dispatch activities.
- Maintain office records, files, and important documents in an organized manner.
Employee Support
- Assist the HR & Admin department with employee documentation and onboarding formalities.
- Coordinate travel bookings, hotel reservations, and vehicle arrangements when required.
- Support in organizing company events, meetings, and employee engagement activities.
Facility Management
- Ensure office cleanliness, maintenance, and infrastructure are maintained properly.
- Coordinate AMC schedules and maintenance activities for office equipment.
- Follow up with service providers for timely completion of maintenance work.
Documentation & Reporting
- Prepare and maintain administrative reports and MIS as required.
- Maintain records related to office assets and inventory.
- Ensure compliance with company administrative policies and procedures.
Required Skills
- Excellent communication and interpersonal skills.
- Professional appearance and positive attitude.
- Strong organizational and multitasking abilities.
- Good knowledge of MS Office (Word, Excel, Outlook, PowerPoint).
- Ability to coordinate with multiple departments and external vendors.
- Strong documentation and record management skills.
- Ability to work independently with minimum supervision.
Educational Qualification
- Graduate in any discipline.
- Additional certification in Administration or Office Management will be an added advantage.
Preferred Candidate Profile
- 7–10 years of experience as a Front Desk Executive, Receptionist, or Admin Executive.
- Experience in manufacturing or industrial companies will be preferred.
- Immediate joiners will be given preference.
- Candidates residing in or around Thane will be preferred.
