Job Summary
The Executive Assistant to the Director will provide comprehensive administrative and executive support to ensure the efficient operation of the Director's office. The role requires exceptional organizational skills, confidentiality, strong communication abilities, and the capability to manage multiple priorities in a fast-paced corporate environment.
Key Responsibilities Executive Support
- Manage the Director's calendar, appointments, meetings, and travel schedules.
- Coordinate internal and external meetings, conferences, and business events.
- Prepare meeting agendas, presentations, reports, and minutes of meetings (MOM).
- Screen and prioritize emails, phone calls, and correspondence.
- Draft professional emails, letters, and official communications on behalf of the Director.
Coordination & Communication
- Act as the primary point of contact between the Director and internal/external stakeholders.
- Coordinate with department heads for follow-ups on action items and project updates.
- Maintain effective communication with clients, vendors, consultants, and government authorities, where required.
- Ensure timely follow-up on assignments and deadlines.
Documentation & Reporting
- Maintain confidential files, records, contracts, and important documents.
- Prepare MIS reports, presentations, dashboards, and management reports.
- Organize and maintain digital and physical filing systems.
- Track key business initiatives and provide periodic status updates.
Travel & Event Management
- Arrange domestic and international travel, accommodation, visas (if required), and transportation.
- Manage travel itineraries and expense statements.
- Coordinate board meetings, management reviews, and corporate events.
Administrative Responsibilities
- Manage office supplies and executive office requirements.
- Process reimbursements, invoices, and expense claims.
- Coordinate with HR, Finance, Administration, and other departments for executive requirements.
- Perform any other assignments entrusted by the Director.
Required Qualifications
- Bachelor's Degree in Business Administration, Commerce, Management, or a related field.
- MBA or equivalent qualification is preferred.
Experience
- 5–10 years of experience as an Executive Assistant, Executive Secretary, or Personal Assistant supporting senior leadership (Director/CXO/Managing Director).
Required Skills
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- High level of professionalism and confidentiality.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Experience with ERP systems (SAP preferred).
- Strong presentation and documentation skills.
- Ability to prioritize tasks and work under pressure.
- Excellent interpersonal and coordination skills.
- Strong problem-solving and decision-making abilities.
Pay: ₹600,000.00 - ₹900,000.00 per year
