Indusun Drilling Fluids Private Limited is a Ghaziabad-based manufacturer and supplier of drilling fluid systems and oilfield chemicals, serving upstream oil and gas operators across India and international markets. Role Overview
The Chief of Staff (CoS) will serve as the Founder's closest strategic partner and operational extension — driving execution across business development, technical operations, quality systems, and organizational initiatives. This role is ideal for a sharp, versatile, and highly organized professional who can move fluidly between strategic thinking and hands-on execution, translate the Founder's priorities into structured action, and act as a trusted force-multiplier across the organization.
The CoS will have visibility into nearly every function of the business — client-facing technical and commercial proposals, recruitment and people operations, quality and ISO documentation, vendor and client communication, and special projects — and will be expected to bring structure, follow-through, and judgment to all of them.
Key ResponsibilitiesStrategic & Executive Support
- Act as a trusted advisor and thought partner to the Founder, helping prioritize time, decisions, and initiatives.
- Prepare briefing notes, board/management materials, and presentations for key meetings, client engagements, and reviews.
- Drive follow-through on action items arising from the Founder's meetings, ensuring accountability across teams.
- Manage the Founder's calendar, travel, and key stakeholder communications where needed.
Business Development & Client Engagement
- Support the development of technical and commercial proposals and submissions for clients and operators (e.g., comparative fluid system evaluations, technical write-ups, capability statements).
- Coordinate with technical and sales teams to ensure proposals, RFQ responses, and client documentation are accurate, polished, and delivered on time.
- Track and help manage the pipeline of business development opportunities, partnerships, and key account relationships.
Quality, Documentation & Process
- Support the creation, standardization, and upkeep of quality procedures and documentation aligned with ISO 9001:2015, ISO 45001:2018, and API Q1/Q2 standards.
- Help build and maintain standardized templates for technical reports, lab test documentation, and internal SOPs.
- Identify gaps in process or documentation and drive their closure in coordination with relevant teams.
People & Organizational Operations
- Support recruitment efforts, including drafting job descriptions, candidate evaluation frameworks, and coordinating interview processes for key roles.
- Help shape and roll out internal initiatives related to organizational structure, performance, and culture.
- Liaise across departments (technical, sales, HR, operations) to ensure alignment with the Founder's priorities.
Special Projects
- Lead or support cross-functional projects as directed by the Founder, ranging from market research to internal process improvement to new initiative launches.
- Conduct research and analysis to inform strategic decisions (market trends, competitor benchmarking, regulatory developments in the oilfield services sector).
Candidate ProfileRequired Qualifications
- Bachelor's degree in Engineering, Business, or a related field (MBA or equivalent preferred).
- 3–7 years of experience in roles requiring high ownership and cross-functional coordination — e.g., chief of staff, management consulting, business operations, or technical/commercial roles in oil & gas or industrial sectors.
- Exceptional written and verbal communication skills; comfortable drafting client-facing technical and commercial documents.
- Strong organizational skills with the ability to manage multiple priorities and stakeholders simultaneously.
- High proficiency with MS Office / Google Workspace; comfort with creating polished documents, presentations, and trackers.
Preferred Attributes
- Prior exposure to the drilling fluids, oilfield services, or broader energy/industrial sector is a strong plus.
- Familiarity with ISO quality management systems (ISO 9001, ISO 45001) or API Q1/Q2 standards.
- A builder's mindset — comfortable working in a lean, fast-moving organization and wearing multiple hats.
- Discretion and trustworthiness in handling confidential and strategic information.
- Strong analytical ability and a bias toward structured, data-informed decision-making.
