Job Description: Executive Assistant to the Financial Director
The Role:
We are seeking a high-caliber, relentless Executive Assistant to support the Financial Director of a leading Pharmaceutical Manufacturing company. This is not a complete desk job; it is a role for a strategic coordinator who prides themselves on being the "right hand" to leadership.
We are looking for someone with the sharp intuition and proactive nature.
Primary Responsibilities:-
- Relentless Follow-up: Take full ownership of the Director’s pending task list. You will follow up with internal departments and external stakeholders until a result is achieved.
- Office Coordination: Act as the central hub for administrative and logistical operations within the finance department.
- Documentation & Reporting: Utilize Google Docs & spreadsheets to prepare reports, maintain confidential files, and manage correspondence.
- Communication Bridge: Manage the Director’s schedule and communications with a high command of English and professional shorthand.
- Personal Assistance: Handle personal administrative tasks for the Director to ensure their focus remains on core business strategy.
- Personal Task Readiness: Be fully prepared and willing to take ownership of the Director’s personal tasks with professionalism, discretion, and efficiency.
Technical & Profile Requirements:-
- Experience: 3-5 years as an EA or Secretary to a Managing Director or high-level executive. A background in Office Coordination is also highly valued.
- Education: Graduate from a recognized Secretarial College or Finance & Accounting background.
Hard Skills:-
- Expert Follow-up: This is your primary strength. You are persistent and organized.
- Tech Savvy: Working knowledge of Google Office (Calendar, Docs, Sheets, Drive) & basic knowledge of AI (Zapier, ChatGpt/Gemini, Motion, Fireflies/Otter)
- Shorthand: Proficiency in shorthand is mandatory for quick note-taking and dictation.
- Stability: A proven track record of long-term tenures. We are looking for a "career assistant," not someone jumping between roles.
- Logistics: Must reside within 45 minutes of the office to ensure ease of commute.
