Role Summary
We are seeking a highly adept, articulate, and organized Executive Assistant (EA) to the Managing Director. This high-visibility role acts as the primary extension of the Managing Director's office. The successful candidate will not only manage day-to-day corporate administration and gatekeeping but will also carry the mandate to deputize for the MD, manage strategic inter-departmental workflows, and make calculated operational decisions in the MD’s absence.
This role requires a blend of emotional intelligence, corporate diplomacy, analytical research skills, and a deep understanding of luxury business operations.
Key Responsibilities & KRAs
1. Executive Deputization & Strategic Liaison
Operational Deputization: Act on behalf of the Managing Director during their absence or when designated, ensuring business continuity, reviewing critical workflows, and making administrative decisions within authorized boundaries.
Inter-Departmental Coordination: Liaise actively between the MD's office and key stakeholders—including factory heads, store managers, luxury clients, major suppliers, and corporate teams—to ensure seamless production timelines and smooth product dispatches.
Project Management: Spearhead specific business projects, market research initiatives, and operational tasks directly assigned by the MD, monitoring execution from conception to delivery.
2. High-Level Gatekeeping & Calendar Management
Primary Point of Contact: Serve as the strategic first point of contact for all internal employees and external dignitaries, screening all phone calls, high-level inquiries, and meeting requests with absolute discretion and diligence.
Master Calendar Control: Dynamically organize and maintain the MD's corporate diary. Schedule, de-conflict, and prioritize appointments with external luxury buyers, trade partners, government authorities, and internal department heads.
3. Executive Travel, Logistics & Event Curation
Comprehensive Travel Management: Design end-to-end domestic and international itineraries for the MD and Board Directors, managing visa documentation, flight bookings, luxury hotel accommodations, and local transit.
Meeting Readiness: Organize high-level executive meetings, board conferences, and external reviews. Ensure the MD is fully briefed with required agendas, dossiers, and background research ahead of every interaction.
4. Advanced Documentation, Research & Reporting
Business Intelligence: Carry out thorough background research on market trends, competitor movements, and vendor profiles, distilling complex data into clear briefing papers, analytical reports, and executive summaries.
Presentations & Correspondence: Prepare highly polished corporate presentations, draft official letters, and handle confidential incoming/outgoing communications (emails, formal mail, and posts) often corresponding independently on behalf of the MD.
Secretarial Precision: Attend executive meetings alongside the MD to take precise dictation, record comprehensive minutes of meetings (MoMs), and track the status of action items across departments.
5. Office Systems & Workplace Optimization
Data Management: Devise, upgrade, and maintain secure, highly organized physical and digital filing systems, ensuring immediate data retrieval and absolute confidentiality of proprietary design and financial records.
Workplace Continuity: Assist in ensuring the executive office suite operates at peak efficiency at all times, maintaining professional ethics and an immaculate workflow standard.
Candidate Profile & Qualifications
Experience: 6–12 years of core corporate experience as an Executive Assistant, Strategy EA, or Chief of Staff to a Managing Director, CEO, or Promoter. Experience within luxury retail, premium apparel, fashion export houses, or high-touch hospitality environments is highly advantageous.
Education: Bachelor's degree in Arts or commerce. An MBA or a Post Graduate Diploma in Corporate Communications/Business Management from a reputable institution is preferred.
Technical Skillset:
Advanced mastery of the Microsoft Office Suite (highly sophisticated PowerPoint presentations and advanced data tracking in Excel).
