About the Role
We are looking for a hands-on and responsible HR Executive / HR Generalist to manage the complete employee lifecycle at Brand Mindz Global.
The HR will be responsible for recruitment, onboarding, attendance, leave management, payroll coordination, employee performance, engagement, HR documentation, policy implementation, employee relations, and overall HR operations.
You will work closely with the Agency Manager and Management to ensure that employees are productive, accountable, engaged, and aligned with company expectations.
This role is ideal for someone who enjoys working directly with people, can maintain discipline professionally, is comfortable handling difficult conversations, and wants to build better HR systems within a growing organization.
Key Responsibilities1. Recruitment & Hiring
- Manage the end-to-end recruitment process whenever hiring is required.
- Understand hiring requirements from management and respective department heads.
- Prepare and update job descriptions.
- Post vacancies on relevant job portals and professional platforms.
- Source and screen suitable candidates.
- Conduct initial HR screening interviews.
- Coordinate technical and management interviews.
- Maintain a candidate pipeline and recruitment database.
- Coordinate salary discussions and offer processes.
- Prepare offer letters and joining documentation.
- Ensure smooth onboarding of new employees.
2. Employee Onboarding & Offboarding
- Conduct structured onboarding for new employees.
- Explain company policies, expectations, working procedures, and employee responsibilities.
- Complete joining documentation and maintain employee records.
- Coordinate with relevant departments for employee access, tools, and requirements.
- Conduct exit formalities and exit interviews.
- Ensure proper handover and documentation during employee exits.
- Maintain accurate employee lifecycle records.
3. Attendance, Leave & Employee Discipline
- Manage daily employee attendance and leave records.
- Monitor late coming, absenteeism, unapproved leave, and attendance irregularities.
- Maintain and enforce company attendance and leave policies.
- Track employee leave balances and approvals.
- Coordinate with managers regarding attendance and performance concerns.
- Address repeated attendance and discipline issues professionally.
- Maintain proper documentation of warnings and disciplinary actions.
- Ensure company policies are followed consistently.
4. Payroll & Salary Administration
- Manage the monthly payroll process and salary-related HR activities.
- Prepare accurate attendance, leave, incentive, deduction, and other salary inputs.
- Coordinate with management/accounting for monthly salary processing.
- Maintain payroll-related records and employee salary information confidentially.
- Address employee queries related to salary, attendance, leave, and deductions.
- Ensure payroll information is accurate and submitted on time.
5. Performance Management
- Implement and maintain the company's employee performance management process.
- Coordinate monthly/quarterly performance reviews.
- Track employee KPIs, targets, productivity, and performance feedback.
- Coordinate probation reviews and employee confirmation processes.
- Work with managers to identify performance issues.
- Support the implementation of Performance Improvement Plans (PIPs) where required.
- Maintain performance documentation.
- Provide management with relevant performance insights and recommendations.
6. Employee Engagement & Culture
- Plan and organize employee engagement activities.
- Conduct employee feedback sessions.
- Organize team activities, celebrations, recognition programs, and events.
- Identify employee concerns and improve workplace satisfaction.
- Encourage a positive, professional, and collaborative work environment.
- Help build a healthy company culture as the organization grows.
- Identify employee engagement opportunities that improve retention and morale.
7. HR Policies & Compliance
- Maintain existing company HR policies and ensure employees understand them.
- Ensure policies are consistently implemented across the organization.
- Communicate policy updates clearly to employees.
- Maintain the employee handbook and HR documentation.
- Identify gaps in existing HR processes and recommend improvements.
- Keep HR documentation organized, updated, and accessible to authorized personnel.
- Ensure confidentiality of employee information and HR records.
8. HR Systems & Process Improvement
- Identify areas where HR operations can be improved.
- Introduce new HR ideas, tools, processes, and systems where beneficial.
- Explore and implement suitable HRMS, attendance, leave, performance, and employee-management solutions.
- Reduce manual HR work through better systems and automation.
- Create simple and effective HR workflows and documentation.
- Continuously improve the employee experience and internal HR processes.
9. Employee Relations
- Act as a point of contact for employee-related concerns.
- Listen to employee grievances and handle them professionally.
- Resolve routine employee issues fairly and confidentially.
- Coordinate with the Agency Manager and management on serious or sensitive matters.
- Maintain professional relationships with employees across departments.
- Handle difficult conversations when required.
- Balance employee needs with company policies and business requirements.
10. Management Reporting
Prepare regular HR reports covering areas such as:
- Employee attendance
- Leave status
- Recruitment status
- New joiners
- Employee exits
- Employee performance
- Disciplinary issues
- Employee engagement
- Payroll inputs
- Team-related concerns
- HR process improvements
The objective is to provide management with clear visibility into the people side of the business without requiring constant follow-up.
Key Performance Indicators (KPIs)
The HR Executive will be evaluated based on:
- Timely completion of recruitment and onboarding activities
- Accuracy of attendance and leave management
- Timely and accurate payroll coordination

Educational Qualification
- Any Bachelor's degree is acceptable
