Additionally, basic knowledge of mechanical and electrical systems is required, along with proven experience in maintenance and defect (M&D) management.Job Summary: The Facility Executive is responsible for overseeing the management, maintenance, and operations of company facilities. This includes ensuring that buildings and their services meet the needs of the people that work in them. The role involves coordination of services such as security, cleaning, and maintenance, as well as the management of office space, equipment, and other physical resources.Key Responsibilities: 1. Facility Management: Oversee the day-to-day operations of the facility
Ensure the building is maintained and fully operational
Manage and supervise all facility staff (e.g., cleaners, maintenance workers, security personnel)
2. Maintenance and Repairs: Schedule and oversee regular inspections and maintenance of systems and equipment
Coordinate repairs and upgrades as necessary
Ensure compliance with health and safety standards
3. Vendor Management: Liaise with vendors and contractors to ensure high-quality service delivery
Negotiate contracts and manage relationships with external service providers
Monitor vendor performance and ensure timely delivery of services
4. Space Management: Optimize the use of space and manage office layouts
Plan and oversee relocations and renovations
Ensure effective allocation and use of workspace
5. Budget Management: Develop and manage the facility's budget
Monitor expenses and implement cost-saving measures
Approve purchase requests and maintain inventory of supplies
6. Security and Safety: Ensure the facility is secure and complies with all safety regulations
Implement security policies and procedures
Conduct safety drills and training for staff
7. Customer Service: Address and resolve any facility-related issues or complaints
Ensure a high level of customer satisfaction among employees and visitors
8. Reporting and Documentation: Maintain accurate records of facility management activities
Prepare regular reports on facility operations and performance
Ensure all documentation is up to date and compliant with regulatory requirements
9. Soft Services Management (Core Focus): Oversee and manage housekeeping operations with strong emphasis on quality and standards
Ensure consistent cleanliness and hygiene across all facility areas
Supervise housekeeping staff and implement best practices in soft services delivery
Monitor service levels and implement improvement initiatives
10. Maintenance and Defect (M&D) Management: Identify, log, and track facility defects and maintenance requirements
Coordinate timely resolution of maintenance issues
Maintain defect registers and ensure proper documentation
Implement preventive maintenance schedules
Qualifications: Education: Bachelor's degree or B. Tech in Facility Management, Business Administration, Engineering, or a related fieldExperience: 3-5 years of proven experience in facility management with strong focus on soft services and housekeeping operationsTechnical Knowledge: Strong expertise in soft services management, particularly housekeeping operations
Basic working knowledge of mechanical systems (HVAC, plumbing, etc.)
Basic working knowledge of electrical systems and infrastructure
Experience with maintenance and defect (M&D) management processes
Understanding of facilities management operations and best practices
