Job Summary
The Project Coordinator is responsible for facilitating effective communication and coordination between clients, project teams, consultants, vendors, and site execution teams throughout the project lifecycle. The role ensures smooth information flow, timely resolution of project-related issues, and adherence to project timelines and client expectations. The Project Coordinator acts as a key interface between the client and the organization, supporting successful delivery of commercial interior fit-out projects through proactive coordination, documentation management, and stakeholder engagement.
Key Responsibilities
Client Coordination
- Serve as the primary coordination point between clients and internal project teams.
- Attend client meetings and maintain regular communication regarding project progress, milestones, and deliverables.
- Ensure client requirements, concerns, and instructions are effectively communicated to the site and project teams.
- Build and maintain positive client relationships to support project success and customer satisfaction.
Project Coordination
- Coordinate activities between Project Managers, Site Teams, Design, Procurement, MEP, QS, and other stakeholders.
- Track project activities and follow up on pending actions to ensure timely completion.
- Support project teams in resolving day-to-day coordination issues affecting project progress.
- Facilitate smooth execution by ensuring all stakeholders are aligned on project objectives and timelines.
Documentation & Reporting
- Prepare and maintain meeting minutes (MOM), project correspondence, reports, and project records.
- Track approvals, RFIs, material submissions, drawings, and client feedback.
- Maintain proper documentation of project communications and decisions.
- Generate periodic project status reports and update management on key developments.
Site & Stakeholder Coordination
- Coordinate with site teams to obtain project updates and communicate them to clients and management.
- Assist in scheduling client visits, site inspections, and review meetings.
- Ensure effective communication between site execution teams and client representatives.
- Monitor action items arising from meetings and ensure timely closure.
Communication Management
- Draft professional emails, presentations, and project-related communications.
- Ensure all communication is clear, accurate, and aligned with project requirements.
- Escalate critical issues to management when necessary to avoid project delays.
Any Other Duties
- Perform additional responsibilities assigned by management to support project delivery and business objectives.
Qualifications & Experience
Education
- Bachelor's Degree in Civil Engineering, Architecture, Interior Design, Construction Management, Business Administration, or related field.
Experience
- 3–5 years of experience in Project Coordination, Client Coordination, or Project Management support roles.
- Experience in Commercial Interior Fit-Out projects is mandatory.
- Exposure to corporate office, workplace, retail, hospitality, or commercial fit-out projects preferred.
- Experience coordinating with multiple stakeholders in fast-paced project environments.
Knowledge, Skills & Competencies
Technical Skills
- Strong understanding of commercial interior fit-out project execution processes.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Knowledge of project documentation, reporting, and coordination processes.
- Familiarity with drawings, project schedules, and construction terminology.
- Ability to prepare professional reports, MOMs, and client communications.
