An Office Assistant in a construction company provides administrative and clerical support to the management, project teams, engineers, accountants, and site staff. The role involves maintaining office records, handling documentation, coordinating communications, and supporting day-to-day office and project-related activities.
Key Responsibilities
- Maintain and organize office files, records, registers, and documents.
- Prepare, type, print, scan, photocopy, and file official letters, reports, bills, work orders, and correspondence.
- Assist in preparing and maintaining tender documents, agreements, quotations, and project paperwork.
- Maintain records of incoming and outgoing letters, emails, and official communications.
- Coordinate communication between the office, construction sites, engineers, contractors, suppliers, and government departments.
- Assist the accountant with invoices, payment records, vouchers, bills, and supporting documents.
- Maintain basic Excel sheets and data-entry records related to projects, materials, labour, machinery, and expenses.
- Assist in preparing and maintaining attendance, labour, vehicle, material, and site-expense records.
- Follow up on pending documents, approvals, quotations, bills, and other office requirements.
- Maintain proper records of tender notices, bid submissions, EMDs, agreements, LOAs, work orders, and completion documents.
- Handle routine office correspondence through email, telephone, WhatsApp, and other communication channels.
- Support the Project Manager and Engineers in preparing daily, weekly, and monthly reports.
- Maintain confidentiality of company, tender, financial, and project-related information.
- Coordinate meetings, appointments, document submissions, and other administrative activities.
- Perform other administrative duties assigned by the Project Manager, Office Manager, or Company Management.
Required Skills
- Basic knowledge of MS Word, MS Excel, PDF, email, and internet applications
- Good typing and data-entry skills
- Good communication and coordination ability
- Ability to maintain records systematically
- Basic understanding of construction and tender documentation
- Ability to work with multiple departments and meet deadlines
- Good organizational and document-management skills
Pay: ₹8,086.00 - ₹23,856.92 per month
