Role Summary
The Jr. Accounts Executive handles the transactional backbone of the accounting function — day-to-day bookkeeping, vendor and customer processing, bank reconciliations, and payroll support — on Zoho Books. All entries are reviewed and signed off by the Senior Accountant. This role suits someone early in their accounting career who is accurate, organised, and eager to build a strong foundation in end-to-end bookkeeping and compliance documentation.
Key Responsibilities
Core Bookkeeping
- Post day-to-day accounting entries on Zoho Books — purchases, sales, expenses, and journal entries — in line with the Chart of Accounts and cost-centre structure.
- Perform monthly bank reconciliations and resolve discrepancies promptly.
- Maintain supporting documentation (invoices, receipts, approvals) for every entry, filed and retrievable for audit.
Accounts Payable & Receivable
- Process vendor invoices, match against POs/approvals, and schedule payments as directed.
- Raise customer/institution invoices and follow up on collections.
- Maintain and update AP/AR ageing schedules on a weekly basis.
Payroll Support
- Assist in monthly payroll computation and payslip generation.
- Prepare PF, ESIC, PT, and LWF deduction workings for review by the MIS & Compliance Specialist.
- Support Full & Final Settlement processing for exiting employees.
Grant & Project Accounting Support
- Tag and track project-wise / grant-wise expenditure entries as guided by the Senior Accountant.
- Assist in compiling backup documentation for Statements of Expenditure (SoE) and Utilisation Certificates (UC).
Compliance Filing Support
- Assist the MIS & Compliance Specialist with data compilation for GST, TDS, and labour law filings (PF, ESIC, PT, LWF).
- Maintain statutory registers and challan payment records under guidance.
Documentation & Housekeeping
- Maintain organised, audit-ready physical and digital filing of accounting records.
- Support the Senior Accountant and Statutory Auditor with data retrieval during audit fieldwork.
Candidate Requirements
- Education: B.Com or equivalent degree in Commerce/Accounting.
- Experience: 2 years of hands-on bookkeeping or accounts experience; freshers with a strong academic record and articleship/internship exposure to accounting software will also be considered.
- Software: Working knowledge of Zoho Books (or willingness to be trained intensively in the first month) and MS Excel fundamentals.
- Skills: High accuracy in data entry, basic understanding of accounting principles (debits/credits, reconciliations), and organised record-keeping.
- Attributes: Punctual, coachable, and comfortable following structured processes with clear escalation to seniors; strong attention to detail.
