Billing Assistant – Roles and Responsibilities (Hospital)
Position Summary:
The Billing Assistant is responsible for supporting the hospital’s billing operations by preparing accurate patient bills, coordinating with departments and insurance providers, and ensuring timely collection of payments while maintaining compliance with healthcare regulations.
Key Roles and Responsibilities:
- Patient Billing and Invoicing:
- Prepare and generate accurate patient bills for inpatient and outpatient services.
- Verify charges for consultations, procedures, medications, diagnostics, and other services.
- Ensure all billing entries are properly recorded in the hospital management system.
- Insurance Processing:
- Coordinate with insurance companies/TPAs for claim processing and approvals.
- Verify patient insurance details and eligibility.
- Prepare and submit insurance claims with required documentation.
- Follow up on pending claims and resolve discrepancies.
- Payment Collection and Reconciliation:
- Collect payments from patients via cash, card, or online modes.
- Issue receipts and maintain proper records of transactions.
- Assist in daily cash and billing reconciliation processes.
- Coordination with Departments:
- Liaise with medical, pharmacy, laboratory, and front office departments to ensure accurate charge capture.
- Clarify billing-related queries with doctors, nurses, or administrative staff.
- Patient Interaction:
- Explain billing details, charges, and payment options to patients and their attendants.
- Address patient concerns or disputes related to billing in a professional manner.
- Documentation and Record Keeping:
- Maintain organized billing records, invoices, and insurance documents.
- Ensure confidentiality of patient financial and medical information.
- Compliance and Accuracy:
- Ensure billing processes comply with hospital policies and applicable regulations.
- Identify and report billing errors or discrepancies.
- Reporting:
- Assist in preparing daily, weekly, and monthly billing reports.
- Support audits by providing necessary billing documentation.
- System Management:
- Update and maintain billing data in hospital software systems.
- Ensure proper coding and classification of services.
