Role Overview
We are looking for an experienced and detail-oriented HR Executive to manage end-to-end payroll processing and salary administration for our 500+ employee workforce. This is a permanent, full-time role with an excellent compensation package for the right candidate. The ideal candidate will have strong command over payroll software, statutory compliance, and HR operations.
Key Responsibilities
Payroll Processing
- Manage complete monthly payroll cycle for all employees (workmen, staff, and management cadre)
- Calculate salaries including basic pay, HRA, conveyance, special allowances, overtime, and incentives
- Process attendance, leave, and overtime data from biometric/HRMS systems into payroll
- Ensure accurate deductions: PF, ESIC, Professional Tax, LWF, TDS, and loan/advance recoveries
- Prepare salary registers, payslips, and bank transfer advice within stipulated timelines
Statutory Compliance
- Ensure timely filing and payment of PF (EPFO), ESIC, Professional Tax, and Labour Welfare Fund
- Maintain compliance with Factories Act, Payment of Wages Act, Minimum Wages Act, and Bonus Act
- Prepare and file monthly/annual statutory returns (Form 24Q, Form 16, PF ECR, ESIC returns)
- Liaise with PF/ESIC offices and handle employee queries on statutory benefits
- Stay updated on changes in labour laws and statutory rates; update payroll accordingly
HR Operations & MIS
- Maintain and update employee master data: joining, confirmation, increments, transfers, exits
- Prepare HR MIS reports – manpower count, cost analysis, department-wise salary breakdown
- Coordinate with Finance for salary disbursement and reconciliation of payroll accounts
- Handle full & final settlement calculations for resigned/retired/terminated employees
- Assist in audits (internal, statutory, and labour audits) related to payroll and HR records
Employee Support & Coordination
- Address and resolve payroll-related queries and grievances of employees promptly
- Issue salary certificates, Form 16, experience letters, and other employment documents
- Coordinate with department heads for attendance approvals, shift data, and manpower updates
- Support HR Manager in performance appraisal cycles and salary revision processes
Candidate Requirements
Educational Qualification
- Graduate / Post-Graduate in Commerce, HR, or related field
- MBA in Human Resources preferred (not mandatory for experienced candidates)
Experience
- Minimum 5-10 years of hands-on payroll processing experience
- Prior experience in manufacturing / printing / industrial setup preferred
- Experience handling payroll of 100+ employees is essential
Technical Skills
- Proficiency in payroll software Omsai Preferred
- Strong working knowledge of MS Excel (VLOOKUP, pivot tables, salary MIS)
- Familiarity with EPFO Unified Portal, ESIC Portal.
- Experience with Google Sheets or HRMS platforms is an added advantage
Knowledge & Competencies
- In-depth knowledge of PF, ESIC, PT, LWF, TDS, Gratuity, and Bonus Act provisions
- Understanding of CTC structuring, take-home calculations, and compensation benchmarking
- Strong numerical accuracy and attention to detail
- Ability to maintain strict confidentiality of payroll data
- Good communication skills in Hindi and English
- Ability to work under deadline pressure during payroll closure periods
