Executive Assistant to Managing Director (EA to MD)
About the Role
We are looking for a smart, well-organized, and proactive Executive Assistant to the Managing Director to support the MD in day-to-day office coordination, communication, documentation, and follow-ups.
The ideal candidate should have good communication skills, be comfortable coordinating with different departments, and be able to handle multiple responsibilities with professionalism and confidentiality.
Key Responsibilities
- Manage the MD’s daily schedule, meetings, appointments, and follow-ups.
- Coordinate with internal teams, clients, vendors, and other business associates.
- Prepare and maintain reports, MIS, presentations, documents, and correspondence.
- Follow up with different departments on tasks assigned by the MD.
- Attend meetings with the MD and maintain meeting notes and action points.
- Handle emails, calls, and official communication on behalf of the MD when required.
- Maintain important documents, records, and confidential information.
- Coordinate meetings, travel arrangements, and other official requirements.
- Assist the MD in monitoring important operational and administrative activities.
- Ensure timely follow-up and completion of tasks assigned by the MD.
- Perform other administrative and coordination duties as required.
Candidate Requirements
- Bachelor’s degree in any discipline.
- 1–4 years of experience in Executive Assistant, Personal Assistant, Office Administration, Coordination, or similar roles.
- Excellent verbal and written communication skills.
- Good knowledge of MS Office, particularly Excel, Word, and PowerPoint.
- Strong organizational and follow-up skills.
- Ability to manage multiple tasks and work under pressure.
- Good professional appearance and communication etiquette.
- Should be trustworthy, responsible, and able to maintain confidentiality.
- Experience in logistics, transportation, supply chain, or related industries will be an advantage.
