What this job involves:
Putting safety in your hands
First things first, your chief concern is to ensure a safer and more comfortable work environment to work in and visit. Part of the checklist you will run through are to plan and execute all preparations needed for meetings and conferences with clients and VIP visits. Likewise, the mailroom, front office and housekeeping all fall into your realm.
Being dedicated to great results
You should be mobile and capable of working anywhere because you will perform daily check-ins around the front office and lobby to ensure high standards. Whatever mix-ups or jams that you spot, you should be quick to figure out the best repairs. Your input and ideas will be sought to help steer the team in directions that help make the facility perform at its best.
A typical day for you also involves contact with vendors—reviewing their services and coordinating with them for the resolution of any service issues.
Job Title: Asst Manager, Facilities
Job Summary
Assist the Facility Manager in the delivery of services to operate and maintain the property including customer/client services, financial management, facility maintenance, procurement, and supplier management. Develop client relationships with key representatives in supporting client’s corporate real estate goals and objectives.
Job Responsibilities
Relationship Management
Maintain client satisfaction with delivery of Facility Management services and support programs to increase customer satisfaction
Compliance
Support compliance with Jones Lang LaSalle minimum audit and compliance standards in facility management, financial management and operational policies and procedures
Meet or exceed site Key Performance Indicators (KPI’s); monitor Service Level Agreements (SLA’s) monthly to identify potential challenges and plan corrective actions accordingly
Enforce all Company policies and training requirements regarding safe and efficient operations and work practices
Implement and monitor hazard control and team safety practices, ensure compliance with local codes and regulations and Jones Lang LaSalle operations standards
Team Management
Demonstrate strong collaboration and teamwork within the account team, by including driving the development and implementation of IFM best practices and innovations
Administrative Function
Support work order management for in-house staff and vendors as necessary.
Support facility soft services as needed and directed such as meetings preparation, conference room reservations, food services, parking, vending, and badging
Any and all other duties and tasks assigned.
Reports to respective Facility Manager
Responsible for overseeing to meet internal and client objectives.
Manage work order process, systems and associated data continuity, as it specifically relates to central and facility management/reporting.
Track asset information, including spare parts and documentation. Comply with standards and
specifications to ensure database/firm integrity and standardization.
Responsible for monthly, quarterly, annual and ad-hoc reporting and systems analysis, including collation of monthly report using checklist to ensure all requirements and deliverables are submitted. Reports include work order activity, scheduled maintenance, service level compliance, labor reporting, project reporting, incident reporting and training.
Responsible for system and user process documentation; developing new documentation as required and updates to existing documentation.
Request system changes via Data Governance Process. Provide new user training, advanced user training, and new feature training. Develop and deploy inspection, assessment, and audit forms supporting the building facility and engineering team.
Support and communicate issues/escalations with supervisor.
Maintains liaison with facilities technicians and other management regarding work execution,
necessity of altering schedules and labor power status.
Responsible for subcontractor PO creation, serving as liaison with JLL corporate finance team. Assist
with subcontractor vetting. Coordinate JLL training program.
The Assistant Facility Manager will have additional duties related to vendor onboarding and
procurement support.
Level of Authority - Responsible for meeting work requirements for assigned services, authority to stop work due to unsafe conditions.
Knowledge, Skills & Abilities
Bachelor’s degree.
Minimum of 5-7 years of industry experience required either in the corporate environment, third party service provider or as a consultant.
Excellent customer, computer, managerial, verbal and written communication skills
Ability to multi-task and effectively organize responsibilities to achieve portfolio goals and objectives.
Basic knowledge of building systems.

Core facilities management skills
If you’re a graduate in any discipline, you will most likely to qualify for this role. You should also have 5-7 years of experience in facilities management. It would be great if you have tertiary qualifications in hotel management, building management and/or business.
