Manager – Executive Office & Strategic Initiatives
Location: Chennai (Frequent travel to Gummidipoondi & other business locations)
About the Role
We are looking for a proactive, highly organized professional to work directly with the Chief Executives . This is a strategic Executive Office role involving project coordination, business support, executive scheduling, recruitment coordination, board presentations, and management follow-up across multiple departments.
Key Responsibilities
- Manage the Board calendar, meetings, appointments and executive travel.
- Prepare AI-generated Minutes of Meeting (MoM) and track action items. Organize Video conference through MS Teams, Zoom, Google Meet. Sending schedules
- Ensure periodical vertical meetings are happening
- Document Management System both physical and soft copies
- Maintaining Confidentiality
- Drive project tracking, task follow-up and management dashboards.
- Coordinate domestic & international travel, ticketing, hotel bookings, itineraries and visa applications.
- Support recruitment through resume sourcing, interview coordination and consultant follow-up.
- Manage LinkedIn networking and executive communications.
- Prepare Board presentations, MIS reports and management dashboards.
- Coordinate customer meetings, conferences and business events.
- Travel with management for customer visits, factory reviews and business meetings.
- Collect and consolidate MIS from Production, Finance, HR, Procurement, Sales and Operations.
- Identify automation, AI tools and process improvement opportunities.
- Coordinate with customers, consultants, vendors and internal stakeholders.
Requirements
- Minimum 10 years of experience supporting CXOs/CMD/CEO Office, PMO, Strategy or Executive Office.
- Manufacturing industry experience is mandatory.
- Strong knowledge of project/task management platforms (Microsoft Planner, Asana, ClickUp, Trello, Notion, Zoho Projects, Odoo Projects or similar).
- Good understanding of KPI/KRA tracking, action monitoring and management reporting.
- Experience in domestic & international travel planning, visa processing and itinerary management.
- Excellent follow-up, coordination and stakeholder management skills.
- Advanced knowledge of Microsoft Excel, PowerPoint, AI productivity tools and LinkedIn.
- Tamil and Hindi speaking ability is mandatory (English proficiency required).
- Willing to travel frequently with management across India and overseas when required.
- A "Go & Get It Done" attitude with strong ownership, execution focus and ability to work independently.
Preferred
Experience with ERP systems, Power BI, Microsoft 365, Zoho, Odoo and Board presentation preparation.
