We are looking for a reliable, responsible, and proactive Operations & Office Associate who can ensure the smooth functioning of day-to-day office and operational activities.
This role involves a combination of office administration, field coordination, local travel, transportation, payments, courier handling, vendor coordination, document movement, and general operational support.
The ideal candidate should be dependable, comfortable working both inside and outside the office, and capable of taking ownership of assigned tasks and completing them on time.
Role Overview
The Operations & Office Associate will support the company in managing daily operational requirements and ensuring that tasks are completed smoothly and without unnecessary delays.
The role requires someone who can coordinate with people, travel locally, handle documents and payments responsibly, manage urgent requirements, and find practical solutions when unexpected situations arise.
Key Responsibilities
1. Local Operations & Field Work
Handle local errands, deliveries, collections, purchases, and other operational requirements.
Travel locally for company-related work as required.
Collect and deliver documents, albums, materials, products, and other items.
Support urgent and last-minute operational requirements.
Ensure assigned field tasks are completed within the required timeline.
Coordinate multiple field activities efficiently.
2. Transportation & Driving
Drive company or personal 2-wheelers and cars for official requirements, as applicable.
Safely transport documents, albums, materials, equipment, and other company items.
Pick up and drop off items from clients, vendors, couriers, offices, and other locations.
Ensure vehicles and transported materials are handled responsibly.
Maintain proper records of work-related travel and expenses when required.
3. Cash, Payments & Collections
Handle company cash, payments, deposits, collections, and receipts responsibly.
Make authorized payments to vendors and service providers.
Collect payments or documents from clients and other parties when assigned.
Deposit cash or cheques at banks or designated locations.
Maintain proper records and supporting documents for all transactions.
Immediately report any discrepancy, missing document, or payment-related issue.
4. Courier & Vendor Coordination
Coordinate with courier companies for pickups and deliveries.
Track important or time-sensitive shipments.
Coordinate with vendors, suppliers, service providers, and external partners.
Ensure materials and documents are collected and delivered correctly.
Follow up with external partners regarding pending deliveries or requirements.
5. Album & Document Movement
Coordinate the movement of wedding albums, photographs, documents, samples, and other company materials.
Ensure items are collected, transported, delivered, and received safely.
Maintain proper handover records wherever required.
Coordinate with internal teams and clients to ensure timely delivery.
Take extra care while handling valuable or important company/client materials.
6. Office Administration Support
Support the smooth day-to-day functioning of the office.
Assist with basic administrative and operational tasks.
Arrange purchases of office supplies and operational materials.
Maintain basic records, receipts, delivery documents, and other operational paperwork.
Support different departments whenever operational assistance is required.
Ensure the office has the necessary materials and supplies for daily functioning.
7. Coordination & Communication
Coordinate effectively with internal teams, clients, vendors, couriers, and external partners.
Provide timely updates regarding assigned tasks.
Communicate delays, issues, or changes immediately to the concerned person.
Follow instructions accurately and clarify requirements when necessary.
Maintain professional behaviour while representing the company outside the office.
8. Task Ownership & Problem Solving
Take complete ownership of assigned responsibilities.
Ensure tasks are followed through until completion rather than simply passing them to others.
Handle urgent and unexpected operational situations calmly.
Identify practical solutions when problems arise.
Prioritize tasks based on urgency and business requirements.
Maintain a proactive approach and anticipate operational requirements wherever possible.
Requirements
Valid 2-wheeler and car driving licence is mandatory.
Candidate should be confident and experienced in driving both 2-wheelers and cars.
Comfortable with both inside-office and outside/field work.
Willing to travel locally for company-related requirements.
Trustworthy and responsible when handling cash, payments, documents, and company materials.
Good communication and coordination skills.
Basic knowledge of smartphones, WhatsApp, Google Maps, and basic computer applications.
Ability to follow instructions and complete tasks independently.
Flexible to support urgent operational requirements when necessary.
